The Commercial Administrative Assistant is responsible for providing administrative support and assistance to the Commercial Banking area in the areas of record keeping, correspondence, report preparation and customer service. As a Commercial Administrative Assistant, you will:


  • Work with the commercial bankers in closing and funding loans, prepares loans, assist in the review of loan files for completeness, assist in loan documentation preparation and work with customers/prospects inquiries and applications.
  • Respond to customer inquiries and requests as directed by the commercial bankers.
  • Provide courteous, professional services to customers by receiving, screening, and transferring telephone calls and provide routine information to clients or customers.
  • Perform a variety of administrative support such as typing, copying correspondences and reports and other duties as necessary.

Responsibilities

Building Operations:

  • Maintain and develop written standard operating procedures for building operations.
  • Ensure that mechanical/electrical system maintenance is being performed.
  • Life Safety issues including proper training of building staff and a written record of all testing and alarm activations.
  • Follow Risk Management guidelines as defined by The RMR Group's Director of Risk Management.
  • Ensure that tenant services are provided according to all lease documents.
  • Oversee all construction/tenant improvements (including proper documentation).

Tenant Construction Process:

  • Coordinate all construction work and its impact on the property.
  • Review and approve all construction documents and specifications.
  • Attend or designate an attendee to all construction meetings.
  • Monitor construction project progress including project close-out, finish dates, move-in dates, budget close-out.
  • Maintain summary file to include, bids, permit, Certificate of Occupancy, correspondence.
  • Maintain a full set of as-built building drawings and specifications.
  • Set-up and close-out Job Cost process.

Building Management Office Procedures:

  • Ensure efficient, courteous and professional day-to-day operation of the management office which includes:
    • Authorization processes
    • Correspondence and filing systems
    • Purchase of goods and services
    • General office operating procedures
    • Receivables/income/expense
    • Service/Maintenance requests
    • Specifications and bidding process
    • Tenant servicing/relations

Financial:

  • Responsible for all aspects of the financial stability of the property including maintaining budgets, yields, and the following:
    • Budget-to-actual reports
    • Accruals
  • Review of recurring charges/miscellaneous billings/AP approval.
  • Review of rent roll for accuracy.
  • Interaction with accounting.
  • Monthly Asset Report/Monthly Reforecast.
  • Budget preparation.
  • Capital Planning and oversight of building improvements.
  • Job-cost system organization.


Qualifications

  • Bachelor's degree - Preferred course of study Business Administration, Real Estate or Accounting.
  • Four to eight years' experience in commercial real estate.
  • RPA or CPM designations a plus.
  • Broker's License preferred.
  • Strong proficiency with Property Management/Accounting Software (preferably Yardi and Argus Enterprise), Excel and other Windows applications.
  • Previous supervisory experience.
  • Strong communication skills, both verbal and written, are essential.
  • Excellent client service orientation.
  • Exceptional organizational skills.

Responsibilities

  • Manage cases and discrete litigation components with increasing independence
  • Draft pleadings, dispositive motions, and substantive briefs
  • Conduct and oversee written discovery and motion practice
  • Participate in depositions, hearings, mediations, and client strategy sessions
  • Work closely with partners on litigation strategy and case development
  • Develop legal analysis across evolving statutory and regulatory frameworks
  • Communicate directly with clients, opposing counsel, and regulators
  • Assume ownership of key workstreams and contribute to efficient case management

 

Associates will have opportunities for meaningful stand-up experience and direct client interaction commensurate with experience.


Qualifications

  • Three to five years of litigation experience in state and/or federal court
  • Training at a leading law firm, litigation boutique, or government practice preferred
  • Experience drafting dispositive motions and managing discovery
  • Strong research, writing, and analytical skills
  • Sound professional judgment, strong organizational skills, and the ability to manage multiple workstreams effectively
  • Interest in both commercial litigation and regulatory/public law matters, including attorneys seeking to broaden their practice into these areas
  • Active membership in the California Bar, or ability to obtain admission promptly
  • Judicial clerkship or government experience is a plus

Role:

Commercial / Business Litigation Attorney (Senior Associate level)


What you’ll do:

  • Run business/commercial disputes end-to-end (strategy, pleadings, discovery, motion practice, hearings, mediation, trial support/first-chair where applicable).
  • Handle partner/shareholder disputes, fraud and fiduciary-duty claims; construction disputes are a plus.
  • Work closely with leadership and help develop/mentor junior attorneys and paralegals as the team grows.
  • (Optional) For the right person: help build out new market capability over time.


Compensation & Benefits

  • Salary range: $135,000–$200,000 (DOE)
