The back office Medical Assistant assists the provider (Physician, Physician Assistant or Nurse Practitioner) in examination and treatment of patients by performing the following duties.

Essential Duties and Responsibilities:

1. Completes intake by welcoming patients and prepares patients for healthcare visit by placing patient in exam room, obtains medical history and verifies patient’s information.
2. Responsible for documenting a full and accurate set of vital signs.
3. Populates all sections of the electronic medical record timely and accurately, including but not limited to allergies, medications, vaccines, social history and quality tab.
4. Assists providers during examination and treatment, performing point of care tests appropriate to skill level, certifications and state regulations.
5. Maintains supplies in storage areas and exam rooms.
6. Disinfects, cleans treatment rooms following patient examinations; Maintains safe, secure, and healthy work environment by establishing and following standards and procedures; complying with legal regulations.
7. Conducts business in a service-oriented manner that is attentive, cooperative, sensitive and respectful with all patients, visitors and colleagues.
8. Responsible for pre-visit planning per the standard operating procedure guidelines.
9. Maintain all logs and required checks (i.e. refrigerator temperatures, emergency medications, expired medications, oxygen, etc.)
10. Responsible to checking and addressing voicemails multiple times during the working day.
11. Responsible for addressing inbox messages (buckets) in the electronic medical record for providers, provider staff and self.
12. Back-up front office when needed including check in, check out, appointment scheduling and answering phones.
13. Maintain a professional working relationship with vendors that support the practice.
14. Follow HIPAA guidelines for all internal and external systems.
15. Ability to communicate appropriately with awareness of surroundings and audience.
16. Attends trainings and meetings as required.

Minimum Education and Experience:

- High School Diploma or GED required.
- Must be a graduate of an accredited healthcare program, i.e. Medical Assistant, CNA, LPN, EMT or equivalent work experience required
- Maintain certifications per state guidelines
- Nationally recognized as a Certified Medical Assistant (CMA) strongly preferred
- Strong computer skills required. EMR experience preferred
- Some MA Experience required
- Current BLS card

Preferred Education/Experience

- 1-3 years of experience in Family or Pediatrics
- Athenahealth practice management system

THE PURPOSE:

The Supply Chain Planning Manager supports the Logistics & Operations team by ensuring that inbound and outbound operations are balanced and DC/3PL operations are optimized. This role plays a key part in keeping day-to-day operations running smoothly by enabling data-driven decision-making and minimizing errors across logistics workflows, collaborating with procurement, planning, customer service, sales and the DC operations.


THE ROLE (what you are accountable for)

Supply & Demand Planning

  • Develop and maintain supply and demand plans to align inventory levels with forecasted customer needs
  • Monitor demand trends and adjust plans to mitigate risks related to inventory shortages or overstock
  • Analyze historical data and market insights to improve forecast accuracy
  • Align supply plans with warehouse capacity, supplier lead times, and operational constraints

Cross-Functional Collaboration

  • Partner closely with procurement, production, logistics, warehouse, and sales teams to ensure smooth product flow
  • Identify and resolve operational and data discrepancies across supply chain functions
  • Support vendor and supplier relationship management and performance tracking

Performance Monitoring & Reporting

  • Track and report on key supply chain KPIs including inventory health, forecast accuracy, freight activity, and operational efficiency
  • Generate recurring and ad-hoc reports to support leadership decision-making
  • Provide actionable recommendations to improve supply chain performance

Risk Management & Continuous Improvement

  • Identify potential supply chain risks and support mitigation planning
  • Contribute to operational initiatives aimed at reducing costs, improving lead times, and enhancing service levels
  • Support continuous improvement efforts across logistics and planning processes

Data & Systems Management

  • Maintain accurate supply chain, logistics, and inventory data across internal systems

  • Advanced proficiency in Microsoft Excel, including Pivot Tables and data analysis tools
  • Experience analyzing supply chain data such as inventory levels, transportation metrics, and distribution performance
  • Familiarity with ERP, WMS, and TMS systems; experience with platforms such as Manhattan or Full Circle preferred
  • Working knowledge of international shipping terms and Incoterms

ADDITIONAL ROLE INFORMATION:

  • Compensation: The anticipated base salary range for this role is $100,000 – $115,000. This is a full-time, exempt position. This range represents the low and high ends of the expected base salary range for this role based on the applicable location. Americas Society seeks an experienced Director of Institutional Giving to conduct prospect research, create, write, and track grant proposals to secure contributed support and prepare reports on funding for Americas Society’s:

  • Cultural programs in Music and the Visual Arts.
  • Americas Quarterly, the organization’s publication dedicated to politics, business, and culture in the Americas.


The ideal candidate will have a minimum of three to five years of experience researching prospects and writing successful grant proposals and reports to foundations, a demonstrated interest in the mission and goals of the organization, and an ability to meet deadlines. The successful candidate will be a self-starter, an excellent writer, as well as a team player.


Key Responsibilities


Manage the portfolio of grants and sponsorships made to Americas Society by institutional donors (government agencies, private and corporate foundations) to support the Culture Programs in Music and Visual Arts and Americas Quarterly.

  • Prospect for new potential institutional funders (foundations) to support our programs.
  • Coordinate with program directors to understand funding needs and timelines, and define a strategy to fully-fund each program.
  • Serve as an intermediary within the organization among program directors, accounting, and media relations throughout the grant cycle.
  • Write letters of inquiry, grant applications, interim and final reports, acknowledgement letters, and all other documents related to the grant cycle.
  • Manage the relationship with existing grantors to maximize repeat donations. Inform them of current and future projects, invite them to visit our gallery and attend our programs, etc.
  • Provide all documents to accounting to process payments (invoices, letters of acknowledgement, etc.) and update the information in Fonteva.
  • Ensure that the organization complies with terms of funding agreements and grants, ensuring that donors are properly credited in all communications (press releases, website, evites, annual report) and that they receive the corresponding invitations.


Additional Responsibilities

  • Provide administrative support for the management of the Arts of the Americas Circle:
  • Produce and send invoices to patrons.
  • Coordinate with accounting to process payments and acknowledgement letters.
  • Create list of grants and contributions to Americas Society for inclusion in Annual Report and other marketing materials.
  • Collaborate on special initiatives.
