About the Role



Hope Services Coordinators are responsible for developing, implementing, and managing high-quality programs and activities aimed at improving the financial stability, economic mobility, and physical and mental health of our residents and those surrounding National CORE properties. The Services Coordinator will utilize prevention, intervention, and referrals in the social service areas of early childhood education, after school care services and programs, youth and young adult development, financial education, workforce development, community building, and health and wellness. The Services Coordinator works closely with onsite Property Management staff and serves as a community ambassador, developing partnerships that expand Hopes impact. The Services Coordinator maintains a direct reporting relationship with an assigned Hope Through Housing Regional Director.



Responsibilities



  • The Services Coordinator will coordinate programs operated by service partners and will provide direct services for residents, their families, and their communities.
  • Identify resident needs, develop individualized property service plans, and deliver quality services for residents both directly and through service partnerships.
  • Provide resident connection to community resources and referral opportunities, in accordance to resident surveys.
  • Develop an onsite mechanism to facilitate resident connection to community service agency resources and referrals, including personnel of community service providers, educational opportunities and support groups.
  • Maintain regular communication with external relations regarding new service partners and evaluation of service delivery by partners.
  • Access partner and service provider database provided by External Relations to schedule appropriate services.
  • Provide support for local, and/or grassroots efforts promoting health and wellness.
  • Ensure service providers develop a site program schedule for residents with access to a variety of recreational, educational, and enrichment activities in support of resident needs.
  • Serve as community ambassador, developing relationships resulting in in-kind service/product donations and financial contributions.
  • Manage and monitor assigned property services budget including payroll, supplies, vendors, and fundraising.
  • Manage and maintain a harmonious relationship with site staff and partners.
  • Maintain client resident services files and database of resident contact referrals and engagement in order to identify trends, patterns, needs, opportunities, and outcomes of services including documentation and certifications.
  • Provide regular reports of activities and events and maintain documentation.
  • Provide/oversee After School Care Services and Programs.
  • Provision of age appropriate activities and events for participants, coordinate activities to meet the developmental needs and interests of all children.
  • Ensure service providers are consistent with required supervision of all children, and ensure their guidance and safety during all recreational and sports activities.
  • Ensure service providers complete and update records on all enrolled.
  • Deliver Financial Literacy and Economic Mobility trainings.
  • Provide residents with opportunities for enhanced vocational and soft skills training including but not limited to resume writing, job search techniques, computer literacy, etc.
  • Workforce Development Assist residents with community referrals for adult education, including but not limited to ESL, GED completion, etc.
  • Community Building - Develop and implement a plan to provide social events and community engagement opportunities to increase involvement.
  • Health and Wellness - In collaboration with External Relations establish and develop relationships with health care providers and community based organizations to provide onsite health education classes focusing on prevention and wellness management.
  • Must attend Company sponsored events that relate to the development of the team, which, from time to time, may include overnight stays at locations away from the employees home.

Job Summary:

The APM works with St. John Properties personnel, tenants, contractors, vendors and the general public to manage and/or assist his/her property, portfolio and fellow Property Managers. The APM is on call 7 days a week and 365 days a year to respond to emergencies. The APM must be very familiar with the tenants, the building and know what the Landlord and tenant lease requirements are and enforce such requirements. The APM’s number one priority is to build value within their portfolio by exercising the following duties:


Job Duties:

Tenant Retention and Satisfaction

Make regular visits to all tenants to address any problems and build good relations with tenants at all buildings. The APM, in coordination with their assigned Property Manager(s) will visit all tenants at least 2 times per year; once between January 1 and June 30 and once between July 1 and December 31, as part of the tenant retention and outreach program; visit all new tenants or existing tenants who renew, within one week of their move in date; visit all expiring tenants six (6) months prior to expiration to understand and address any open issues prior to renewal discussions. Additionally, tenant problems or complaints will be brought to the attention of the Senior Vice President of Property Management

The APM, in coordination with their assigned Property Manager(s) shall respond to all tenant problems or complaints within one (1) hour of any service call and no later than three (3) hours of the service call or contact by tenant. All tenant calls, shall be followed up on to ensure prompt and complete tenant satisfaction.


The APM shall make themselves aware of tenant maintenance calls made to Tenant Maintenance Coordinators.


Revenue and Expenses

The APM shall assist their PM(s) with and monitor the work of the Lease Administrators to ensure that the Lease Administrators bill tenants correctly for CAM, taxes, insurance and other services provided, collect all rents due from tenants and enforce all lease requirements.

Work with Lease Administrators to monitor tenant payments and help with timely collection of all open balances. Continually negotiate, bid and supervise all service contracts for the properties to ensure that we are receiving the best possible service at the most competitive market price at the highest level of quality. Follow and exercise scheduled budget expenses.


Review and approve all invoices and purchase orders. Administer prompt payment to vendors or contractors for products or services rendered. Research all problem invoices to provide an expeditious solution. Research all utility invoices and spread sheets for problems, trends and accuracy.


Physical Building

Working with the Director of Property Managers and their PM(s), the APM shall identify, evaluate and implement capital and operating projects for the properties as they are planned. Solicit specifications and proposals for minor and major improvements based on the budget schedule. Recommend and implement improvements to increase value by reducing expenses and or increasing income.


Perform semi-annual building evaluations for each building and work with the Senior Vice President of Property Manager(s) to review problems and opportunities and to improve the property’s value. Each building evaluation will be set on a schedule for completion and periodic review.


Conduct housekeeping, safety, security and night inspections on a monthly basis to ensure the

Properties and buildings are well lit, clean, and safe for the tenants and general public.

As needed fill out incident reports and insurance claim reports to be filed with the Firm

Administrator and submitted to the insurance adjuster.


Assist PM(s) in inspecting all vacant spaces on a weekly basis. Spaces must be clean and present an excellent first impression to prospective tenants.


Leasing

The APM shall assist their PM(s) in inspections of all vacant spaces within 48 hours of the tenant vacating, fill out a vacancy report and commence preparation of space(s) for leasing.


Personnel

Work harmoniously with the Director of Property Managers, Lease Administrators and Tenant Maintenance Coordinators to be aware of all maintenance, financial and tenant issues.


Administrative

Send out correspondence as needed to confirm and follow up on actions as well as memos to tenants in various buildings to communicate information on a regular basis.


Meet biweekly with Property Managers and Lease Administrators to review AR aging reports.


Working with PM’s, prepare and submit annual expense budgets each Fall by calling all service contractors and soliciting prices by October 31, of each year for the coming year. Additionally, assist the PM(s) in soliciting 3 bids from all service contractors that have indicated they will increase their rate for the next year.


Financial

Review and fully understand each property’s expenditures each month and operate each property within the budget. Discuss budget variances with the Senior Vice President of Property Management on a quarterly basis.


Roles and Responsibilities:

The Assistant Property Manager is responsible for overseeing all operations of their portfolio. This role requires the ability to work with all employees within St. John Properties.

Invest Property Management is based out of Saint Paul with properties throughout the metro, Menomonie, Rush City, and Wausau. We are a small team dedicated to property investment and customer experience.

Property Operations

* Personally inspect the property daily including the common areas such as parking lots, laundry, and grounds.

* Ensure all property signage and leasing materials are utilized effectively (may include brochures, balloons, banners, guest cards, newsletters, etc.).

Resident Relations Actively participate in maintaining good resident relations in the community. Ensure courteous and timely response to all resident requests and questions.

* Resolve complaints from residents.
* Take work orders from residents, assign to appropriate personnel or vendor and enter into management software.
* Serve as a direct contact for residents and vendors, and maintain good relationships with others in the industry.

About the Role

We’re seeking a motivated and detail-oriented Commercial Property Manager to oversee the day-to-day operational management of a portfolio of commercial real estate assets. This role works closely with tenants, senior management, and internal teams to ensure properties are operating efficiently and to the highest standards.


What You’ll Do

8) Performs on-call emergency service as requested. All emergency after hours calls must be responded to immediately, and the service person on call must have the ability to arrive at the property no more than an hour after a call comes in.

9) Completes all service requests within 24 hours, unless the request requires extraordinary parts or labor.

10) Must have the ability to select appropriate materials for the property as needed.

11) Performs inspection of exterior lighting of the property on a schedule determined by the Community Manager.

12) Responsible for maintaining a clean and organized work environment in the maintenance shop.

13) Responds to resident service requests and concerns in a timely, professional manner.

14) Reads and/or listens to resident requests/complaints in a calm, respectful, and open manner.

15) Maintains a complete clean and neat uniform, name tag must be worn when working on any MLPG Property including nights and weekends, if applicable.
