Overview of Your Role

The primary function of the Member Services Representative will be to deliver professional customer service, relationship building and sales skills to create a welcoming environment at BGCCA. The incumbent will provide in-depth information related to BGCCA programs, activities, and special events while assisting with the attraction and retention of members, including the collection and processing of monetary transactions and information for members, participants and guests. The position also supports data collection and analysis systems and may assist with other administrative or clerical support activities as assigned.


KEY ROLES (Essential Job Responsibilities):

The following job functions are considered essential for this position:

  • Greet and welcome guests as soon as they arrive at the office and notify appropriate staff of visitors.
  • Maintain office security by following safety procedures and controlling access via the reception desk. (manage intercom system, monitor logbook, assist with main office security systems)
  • Maintain electronic and hard copy filing systems, ensuring accuracy and timely updates for easy information retrieval.
  • Keep updated records of office cash handlings and store all records appropriately.
  • Provide basic and accurate information regarding Club programs/events in-person and via phone/email.
  • Answer, screen, and forward incoming phone calls professionally
  • Manage and update general voicemail/message service and receive and distribute messages accordingly.
  • Receive, sort, and distribute daily mail/deliveries.
  • Respond to and follow procedures for incidents and emergencies as the main point of contact.
  • Act as the main point of contact for all Club-Main Office communications, including incident/injury reporting to external providers as necessary.
  • Perform other clerical receptionist duties such as photocopying, sorting, filing, and data entry for Main Office staff as needed.

WORK ENVIRONMENT:

Fast-paced office environment serving as the primary reception and communication hub. Regular interaction with diverse populations including youth members, families, staff, and community partners. May involve handling cash transactions and confidential information.

TRAVEL REQUIRED:

No regular travel required. Occasional local travel between Albany and Troy locations may be requested based on operational needs.

RELATIONSHIPS:

Internal: Maintains close, daily contact with Club staff (professional and volunteer), Club members, and supervisor to receive/provide information, discuss issues, explain or interpret guidelines/instructions.

External: Maintains contact as needed with external community groups, schools, members’ parents and others to assist in answering questions or resolving issues that might arise.




Requirements:

CREDENTIALS, SKILLS/KNOWLEDGE REQUIRED:

Education and Experience:

  • High School Diploma or GED required
  • Associate's degree preferred
  • Minimum 1 year experience in member services and/or customer service
  • Experience with computers, software, phone systems, and data management preferred
  • Must be 21 years of age

Required Certifications:

  • Must complete all required BGCCA training within first 60 days of employment

The Opportunity

We are currently seeking dedicated professionals to work in our San Antonio office as a Customer Service Claims Representative. You will be part of an outstanding contact service center, where you will focus on providing claims service to members regarding the initial contact on all property First Notice of Loss (FNOL) claims. In addition, you will respond to status inquiries from various parties, document reported losses, set appropriate expectations, provide proactive communications, advice, and empathy to our members.

What you'll do:

* Document First Notice of Loss by obtaining relevant information for effective claim investigation. Set up appropriate services, as needed, to proactively move claims forward to the furthest point in the process within scope of role and expectation.
* Create loss reports, describe or verify coverage as appropriate, and initiate the most effective method of damage assessment to assign for file handling.
* Assist with questions regarding the claims process and set expectations for next steps to help ensure claims are effectively resolved and accurately documented.
* Resolve status inquiries and, when appropriate, route to handling adjuster.
* Effectively operate in a fast-paced, high-volume, contact center environment taking back-to-back calls and navigating multiple systems and programs while maintaining an engaging member interaction that occurs across multiple communication channels.
* Apply strong time management skills by closely adhering to assigned work schedule.
* Embrace continuous improvement and development through coaching and collaboration with manager and team members.
* Use strong call management skills by assisting members within a timely manner and limiting non-productive time.
* May assign or initiate emergency services when required on specific claims.
* Support workload surges and catastrophe (CAT) response operations as needed which may include potential weekends, and/or holiday work outside normal work hours.
* Work various types of claim loss notices and inquiries, including ones of higher complexity, and may be assigned additional work outside normal duties as needed.

Campus Services is a business unit within the division of Student Engagement and Well-Being. Campus Services is comprised of five departments providing services and support to students, faculty, staff, and visitors of Georgia Tech. In addition to these departments, Campus Services has an administrative staff devoted to strategically consolidating services in Capital Projects, Finance, and Sustainability. Job Summary

Provide executive level administrative services for one or more executive positions. Efforts include event planning, scheduling, briefings, and presentation preparation and facilitating visits to and communications with the AVP's office.

What You'll Do
  • Gathering necessary order related information from all parties and assuring it is accurately communicated to those who need it. If unable to secure necessary information, this position is responsible for securing the assistance of the District Operations Manager, as needed.

  • Coordinate information flow for new equipment jobs using order logs, order management, and entry systems.

  • Create and maintain accurate and complete job files, work orders and information to include maintenance, reconciliations and filing processes.

  • Work with customers, contractors, and vendor to assure order requirements are achieved, orders are released, and shipping dates meet customer expectations.

  • Review vendor invoices for accuracy and properly code and post into corporate order management system and that they meet corporate accounting requirements.

  • Assist District Management and sales personnel in resolving collections issues. This includes effectively interfacing with customers to ascertain and document billing procedures to assure timely payment of Arbon invoices.

  • Work to consolidate shipments to minimize freight costs while meeting customer requirements.

  • Review completed job files to ensure that profit erosion is minimized. Analyze and communicate variances to District management as required.

  • Cross-train with other administrative personnel to provide additional help during heavy workloads or back-up during absences.

STANDING: Most tasks are performed from a standing position. Walking surfaces include ceramic tile \"bricks\" with linoleum in some food process areas. Height of work surfaces is between 36\" and 48\".

WALKING: Walking is generally in short distances for short durations. Delivery personnel must travel between the store and the delivery vehicle and from the delivery vehicle to the customer's location.

SItting: Paperwork is normally completed in an office at a desk or table.

LIFTING: Bulk product deliveries are made twice a week or more and are unloaded by the team member using a hand truck. Deliveries may include cases of ingredients and supplies weighing up to 50 pounds with dimensions of up to 3' x 1.5'. Cases are usually lifted from floor and stacking onto shelves up to 72\" high.

CARRYING: Large cans, weighing 3 pounds, 7 ounces, are carried from the workstation to storage shelves. Occasionally, pizza sauce weighing 30 pounds is carried form the storage room to the front of the store. Trays of pizza dough are carried three at a time over short distances, and weigh approximately 12 pounds per tray. During delivery, carry pizzas, sides, and beverages while performing \"walking\" and \"climbing\" duties.

DRIVING: Deliver pizzas within a designated delivery area. A team member may make several deliveries per shift.

PUSHING: Pushing is performed to move trays which are placed on dollies. A stack of trays on a dolly is approximately 24\"-30\" and requires a force of up to 7.5 pounds to push. Trays may also be pulled.

CLIMBING: Team members must infrequently navigate stairs or climb a ladder to change prices on signs, wash walls, perform maintenance. During delivery of product, navigation of five or more flights of stairs may be required.

STOOPING/BENDING: Forward bending at the waist is necessary at the pizza assembly station. Toe room is present, but workers are unable to flex their knees while standing at this station. Duration of this position is approximately 40-45 seconds at a time, repeated continuously during the day. Forward bending is also present at the front counter when stocking ingredients.

CROUCHING/SQUATTING: Performed occasionally to stock shelves and to clean low areas.

REACHING: Reaching is performed continuously; up, down, and forward. Workers reach above 72\" occasionally to turn on/off oven controls, change prices on sign, and lift and lower objects to and from shelves. Workers reaching down to perform such tasks as scooping cornmeal from a plastic barrel, or washing dishes. Workers reach forward when obtaining topping ingredients, cleaning work surfaces, or answering phones.

HAND TASKS: Eye-hand coordination is essential. Use of hands is continuous during the day. Frequently activities require use of one or both hands. Shaping pizza dough requires frequent and forceful use of forearms and wrists. Workers must manipulate a pizza peel when removing a pizza from an the oven, and when using the rolling cutter. Frequent and/or forceful pinching is required in the assembly of cardboard pizza boxes. Team members must be able to grasp cans, the phone, the pizza cutter and pizza peel, and pizza boxes.
