About the Role
The Service Technician I is responsible for supporting the daily maintenance operations of an apartment community to ensure resident satisfaction, property functionality, and compliance with company standards. This role is essential to Birge & Held’s continued success and reports directly to the Maintenance Operations Manager (MOM) or the Operations Manager when a MOM is not present.
Responsibilities
Regulatory and Policy Compliance
- Conduct all business in accordance with company policies, Fair Housing regulations, the Americans with Disabilities Act, the Fair Credit Reporting Act, and all other applicable laws.
Maintenance and Repair Responsibilities
- Inspect buildings and common areas to assess cleanliness, safety, and overall property condition.
- Perform basic repairs and maintenance of HVAC units, electrical systems, mechanical equipment, plumbing fixtures, and structural facilities.
- Complete all assigned work orders within 48 hours, unless an emergency requires immediate action.
- Ensure unit turnovers are completed within five (5) working days unless otherwise directed.
- Perform on-site work to preserve and enhance asset appearance and functionality.
Team Coordination and Communication
- Provide daily progress updates and communicate frequently with the operations team.
- Coordinate and complete tasks in alignment with broader departmental priorities.
Resident and Vendor Relations
- Maintain a professional, respectful, and courteous demeanor with residents, prospective residents, team members, and vendors.
- Assist in ensuring a positive resident experience through timely service and proactive maintenance.
Grounds and Facility Support
- Maintain the cleanliness and safety of grounds and common areas.
- Support seasonal tasks such as snow removal, landscaping, and debris cleanup to ensure curb appeal.
- Oversee the day-to-day maintenance of the assigned B&H portfolio.
- Provide assistance to other B&H assets as needed to drive broader company goals and operational success.
Administrative and On-Call Duties
- Complete and submit required administrative documentation (e.g., work order logs, inspection forms) accurately and on time.
- Participate in the maintenance on-call rotation to handle after-hours emergencies.
- Perform other duties as assigned.
Qualifications
- Formal technical training and/or equivalent job experience in heating and air conditioning, preferred.
- EPA certification for refrigerant handling, preferred or willingness to obtain certification upon hire.
- HVAC certification, preferred.
- For positions that require travel between properties, a valid driver’s license and reliable transportation are required.
- Working knowledge of OSHA standards and other environmental safety standards.
- Provide your own hand tools including but not limited to power drills, impacts, and all non-powered hand tools.
- Able to operate all necessary tools to perform the essential functions of the position.
- Experience in residential property maintenance is beneficial.
- Above average oral communication skills.
- Must be self-motivated, able to complete assigned tasks and can negotiate competitive pricing of supplies and contracted work.
- Able to multi-task and prioritize work orders.
- Exhibit strong attention to detail.

Property Operations
* Personally inspect the property daily including the common areas such as parking lots, laundry, and grounds.
* Ensure that the property has sharp curb appeal and that all model and vacant units are market ready within the guidelines established by the head office.
* Process maintenance service requests for residents. Ability to perform light maintenance and turns is required.
* Prepare detailed and accurate property reports and submit all required reports, invoices, deposits, market surveys, etc., to corporate office by the expected deadline.
Leasing/Sales/Marketing Show and lease the properties.
* Answer phone calls; greet prospective residents, show apartments.
* Prepare market surveys of competitive properties in the area.

Resident Relations Actively participate in maintaining good resident relations in the community. Ensure courteous and timely response to all resident requests and questions.
* Resolve complaints from residents.
* Take work orders from residents, assign to appropriate personnel or vendor and enter into management software.
* Serve as a direct contact for residents and vendors, and maintain good relationships with others in the industry.

Job Duties and Responsibilities (Essential Job Functions)
- Cultivates partnerships with local real estate sales offices by marketing property management services to agents and managers.
- Onboards new accounts, including providing recommendations to owners in terms of marketability, improvements, and pricing.
- Markets rental properties through the Multiple Listing Service and advises owners of progress of showings, feedback and applicants.
- Processes applicants for tenancy after obtaining screening with owner consultation.
- Conduct, coordinate and review property surveys/inspections for lease compliance, maintenance oversight and recommendation for lease renewal.
- Prepares all management leases. Assures that certified funds and security deposit have been collected. Monitors unpaid rents and assures delinquency notices are sent. Recommends initiation of legal actions in a timely manner as needed.
- Coordinates and negotiates lease renewals, including recommended rent increases
- Communicates and advises owner in a timely manner of actions and or funds needed to maintain property.
- Maintains property files in AppFolio and keeps operations team and Customer Experience team updated on status of properties.
- Communicates with owners regarding vacancies, leasing activity, applications, new tenants, lease renewals and property legal matters such as HOA, condo or formal complaints in.
- Stays informed on maintenance, inspections, and other items that involve the property.

Tenant Relations:
- Interact and correspond with tenants to address problems or complaints, as it relates to housekeeping, maintenance, leasing or accounting

- Assist Property Manager with weekly tenant visits as required by client and maintain tenant visit log

Facility Management:
- Walk buildings and inspect for maintenance, janitorial & landscape issues

- Maintain building access system, handle tenant request for access cards and keys

Administrative Responsibilities:
- Responsible for administrative tasks including, but not limited to filing, mailing, ordering office supplies, preparing monthly expense reports for Property Manager and Maintenance Staff, etc.
- Prepare and track all vendor contracts. Maintain current vendor list. Obtain current COI, business licenses and W-9 on all Vendors
- Maintain and keep up to date tenant contact lists and current (COI’s) certificate of insurance
- Update Clients web site monthly with current tenant contact information
- Maintain and keep up to date web base program for building information and preventative maintenance work order system
- Maintain on site lease files
Financial Reporting:
- Prepare monthly budget variance reports for assigned buildings for the Property Manager’s review
- Assist Property Manager with placing calls to tenants regarding collection of past due rents on the 10th, 20th and end of month. Produce MRI Aging Report. Correspond with Tenant and update MRI reports
- Assist in budget planning, i.e., print reports and obtain bids
- Assist Property Manager with invoices, i.e., tenant bill backs, researching invoices, GL coding, etc.
- On a monthly basis, prepare meter reading and tenant bill backs for accounting
- Upload bill backs in the accounting web base program
- Review rent rolls for accuracy and compare with MRI rent roll
Performs other related duties and assignments as required.
Qualifications:
- College Degree preferred or progressive work experience addition to the qualifications below
- Real estate license or ability to obtain license
- Front desk or office management experience
- Two (2) + years’ experience in commercial real estate environment

Compensation:
The Assistant Property Manager compensation will be based on experience and qualifications. This range is subject to local, state and regional dynamics and may be adjusted up or down depending on market conditions.

About the Role
We’re seeking a motivated and detail-oriented Commercial Property Manager to oversee the day-to-day operational management of a portfolio of commercial real estate assets. This role works closely with tenants, senior management, and internal teams to ensure properties are operating efficiently and to the highest standards.
What You’ll Do
- Oversee Operations: Manage the day-to-day function of a portfolio of commercial real estate properties, including compliance of tenants and vendors
- Select Vendors: As needed, source and select vendors – negotiating agreements related to their services
- Monitor Execution: Oversee vendor performance and ensure compliance with service agreements
- Improve Efficiency: Identify and analyze opportunities to improve the effectiveness of our operational products or arrangements
- Develop Budgets: Participate in the development of annual operating budgets for a given portfolio of properties

We are seeking a dynamic, highly organized, technically skilled Project Manager to contribute to and support growth, operational systems, and assure that projects are on time and on budget. You must be prepared for 50+ hours per week, including weekends, BUT, real estate experience is not mandatory.

As a Senior Property Manager, you are responsible for the strategic oversight and day-to-day operations of a portfolio of commercial properties. This role requires advanced experience in financial management, tenant relations, vendor negotiation, and asset performance. You will act as a trusted partner to ownership, Asset Management, Real Estate Services, and leasing teams, ensuring properties are operated in alignment with ownership objectives and long-term value creation.
The Senior Property Manager is a leader within the property management team, providing mentorship, guidance, and elevated problem-solving. This position is coached by the Director of Property Management.
Role Responsibilities:
- Oversee and manage a portfolio of multiple large commercial properties, ensuring operational excellence and compliance across all assets.
- Track and maintain comprehensive property information, including tenants, vacancies, rent statements, disbursements, contracts, and facility management activities.
- Operate assets in alignment with ownership financial goals, proactively identifying risks and opportunities to enhance performance.
- Prepare, analyze, and present annual budgets, forecasts, variance reports, and property financial performance reports.
- Negotiate and manage vendor and service contracts, including pricing, scope, and performance standards.
- Collect rent in a timely manner and coordinate financial tracking and reporting with Real Estate Services and Finance.
- Serve as the primary escalation point for tenant relations, resolving complex issues and maintaining strong, professional relationships.
- Conduct regular property inspections, producing detailed written reports and photo documentation.
- Oversee preventative maintenance and capital projects to ensure properties are well-maintained and compliant with all regulations.
- Attend and lead client, ownership, and vendor meetings as required.
- Collaborate with leasing teams, including assisting with space showings and tenant transitions when needed.

Education and Experience:
- 7+ years of experience in commercial real estate property management.
- Demonstrated experience managing multiple large-scale commercial assets.
- Bachelor’s degree or equivalent combination of education and experience.
- Real Estate License or willingness to obtain preferred.
- Valid driver’s license required.
- IREM (CPM), BOMA (RPA), or similar professional certification preferred.
