Summary:

This is a full-time on-site role located in Beverly Hills, CA, for a Snr. Litigation Legal Secretary. The Snr. Litigation Legal Secretary will provide comprehensive support to attorneys, including managing legal documents, preparing case materials, drafting correspondence, scheduling and maintaining calendars, and assisting with case management. The role also includes administrative duties to ensure efficient functioning of the legal team. The candidate will be an integral part of the firm’s litigation team, offering organizational and procedural support.


Responsibilities will include but are not limited to:

  • Prepare, organize, and create complex legal documents and forms;
  • Assist with and prepare electronic court filings; knowledge of state and federal courts;
  • Assist attorneys with conflicts checks and opening new matters;
  • Prepare TOCs/TOAs; exhibits, binders, and other legal documentation;
  • Demonstrate excellent understanding of formatting and styles, redlining and other proofreading skills;
  • Determine docket/calendar dates from court documents and correspondence and enter into Firm’s calendaring software;
  • Establish and maintain paper and electronic client and administrative files;
  • Answer and roll calls, schedule appointments and meetings, maintain attorneys’ calendars, handle e-mail distributions/incoming and outgoing mail, updating contact information;
  • Work closely with Accounting to prepare expense reports and monthly bills (from pre-edits, to processing final bills);
  • Assist attorneys and paralegals in preparing for hearings, mediations, arbitrations, and trials;
  • Assist with overflow/special projects; contribute to the office and firm-wide team objectives;
  • Provide general back up support to the office and other departments as required;
  • Coordinate couriers and other special functions internally and externally.

ESSENTIAL DUTIES

  • Provide receptionist services such as greeting patients, answering phones and directing calls, forwarding calls, leaving voicemails, emailing, and generating tasks in EMR.
  • Plan, organize, direct and schedule patient's internal appointments based upon orders.
  • Coordinate and track external referrals.
  • Verification of Insurance and entering information into EMR.
  • Collection of payments.
  • Requesting Authorizations.
  • Coordinate obtaining and sending medical records requested.
  • Monitor daily clinic schedules in accordance with scheduling protocols.
  • Provide strong alliance and acts as a liaison with all medical staff (including physicians) and all ancillary departments of BHCC.
  • Excellent customer service skills and communication skills.


REQUIREMENTS

  • A Bachelor's degree required.
  • Minimum of two years of patient front office and/or billing experience and knowledge of insurance verification/authorization process required.
  • Exposure in an oncology or imaging/radiology experience preferred.
  • Excellent computer skills and EMR knowledge.
  • Spanish speaking candidate highly preferred.
  • Medical records experience preferred.

Primary Duties and Responsibilities:

  • Operates, monitors, and maintains boilers, chillers, generators, compressors, pumps, and related central plant equipment to ensure uninterrupted mechanical power and utility services throughout the hospital.
  • Performs preventive maintenance, inspections, and operational checks on facility systems and equipment to support safe and reliable operations.
  • Troubleshoots mechanical, electrical, and control system issues and implements corrective actions to minimize equipment downtime and operational disruptions.
  • Utilizes hand tools, diagnostic instruments, and testing equipment to evaluate system performance and complete assigned maintenance tasks.
  • Monitors building automation and management systems to ensure optimal performance of heating, ventilation, air conditioning, and utility systems.
  • Responds to system alarms, equipment failures, and urgent maintenance requests in a timely manner to support hospital operations and patient care needs.
  • Maintains accurate logs, records, and documentation related to equipment operation, maintenance activities, and regulatory compliance requirements.
  • Ensures compliance with safety standards, regulatory requirements, and hospital policies while performing maintenance and operational duties.
  • Assists in coordinating maintenance activities and work assignments to support departmental priorities and operational efficiency.
  • Collaborates with facilities management, engineering staff, and other hospital departments to address operational needs and resolve facility-related concerns.
  • Participates in system testing, start-up, and shutdown procedures for equipment and utilities as required.
  • Supports emergency preparedness efforts by assisting with backup power operations, disaster response activities, and restoration of services following outages or incidents.
