Position Summary

DUTIES AND RESPONSIBILITIES

  • Assist Summer Programs and Conference Services Manager with coordinating all summer programs on campus.
  • Help the manager with scheduling events and coordination with facilities, dining services, and housekeeping.
  • Work cooperatively and effectively with other departments on campus by communicating and updating information on an ongoing basis.
  • Work with the Summer Programs and External Events Specialist to prepare for the arrival of clients to campus.
  • Provide unwavering customer service to all clients and programs to insure a successful event and an overall exceptional experience at Smith College.
  • The Summer Conference Assistant will also support the Conference Center and the Conference Center Manager on various projects.
  • This includes providing excellent customer service to guests and clients while ensuring the safety and well-being of all individuals using the facility.
  • This role involves supervising events, enforcing policies and regulations, assisting with event setups and breakdowns, and handling technical requirements.
  • The position also includes overseeing equipment check-in/out for caterers, maintaining cleanliness and inventory in the kitchen and bar areas, and assisting with bar setup, dishwashing, and bussing during events.
  • The role requires attention to detail and effective coordination.

MINIMUM QUALIFICATIONS:

  • Education/Experience: Associate's degree or 1-3 years' customer service experience or an equivalent combination of education and experience.

Skills: Strong organizational, interpersonal, and communication skills; good customer service; ability to multitask and prioritize tasks with strong attention to detail and accuracy; independent initiative and teamwork required; knowledge of scheduling software, Google Spreadsheets, and Excel.

Job Requirements: 35 hours per week, a flexible schedule is required. Evening and weekend work required. Knowledge of Smith College campus grounds, buildings, operations, and resources is preferred.

Dates/Compensation: Dates needed. May 1, 2026-September 2, 2026. The start and end dates can be flexible. The hourly rate is $25.00 per hour.

Position Summary:

Assists in catering events on Campus, maintains and monitors assigned event areas under the direction of the Lead Catering Dining Room Coordinator, the Area Manager, or Chef. Trains and instructs student workers. Strives to provide outstanding customer service within the framework of departmental policies. Strives to create a cordial and accommodating dining atmosphere for guests. Reviews upcoming functions, completes required record keeping accurately, and works cooperatively, planning set-up and service of catered events.

Duties and Responsibilities:

Prepares dining area for service, sets up equipment and tableware in a logical manner, referring to thefunction sheets as a guide. Loads, transports, unloads, sets up, and breaks down all functions. Sets up all ancillary items as needed and labels all food items for guests. Monitors the events area during service time to ensure that adequate amounts of food and sanitary conditions prevail. Delegates all tasks as needed. In collaboration with kitchen staff, ensures proper storage of food items at the completion of events and prompt clean up. Intervenes when needed to resolve customer issues.

Reviews upcoming functions and set ups, assists in planning by participating at required meetings. Checks emailed information from Catering Manager and department, shares relevant information with the rest of the catering staff. Updates information on posted weekly function sheets.

Projects a positive public image. Facilitates communication with all people accurately, professionally, and in a discreet, timely manner. Works cooperatively and informs other staff members, student workers, guests, and manager to ensure efficient catering events.

Cleans, organizes and maintains all assigned dish pantry, storage, serving and dining areas. Performs or delegates all cleaning procedures within an established period or schedule, including but not limited to: * Dishwashing

* Polishing silver and service pieces

* Cleaning and sanitizing serving equipment

* Coffee air pots and Cambros

Follows all opening and closing procedures for public space and secures facility. Adheres to all of thecollege's driving credentialing polices while driving the catering van. Maintains and reports any issues with the Catering van

In the absence of the Lead Catering Dining Room Coordinator, trains and instructs student workers. Works alongside student workers to demonstrate safe work habits and logical procedures, sets pace and establishes acceptable expectations for the quality of work.

Attends training sessions, workshops as assigned. Completes required payroll forms and scheduling forms within deadlines. Performs all other related or relevant tasks.

Minimum Qualifications:

  • Completion of high school education or vocational school education.
  • Ability to communicate effectively both verbally and in writing and perform basic arithmetic functions.
  • At least 2 years of combined educational and/or commercial experience in the hospitality industry.
  • Must obtain the following certifications within one year of hiring and stay current with Serv -Safe, Food Allergen, and Anti-Choke

Preferred Qualifications:

  • Prior management experience.
  • Banquet waitperson experience and/or front of the house experience in fine dining establishment as well as experience in customer service positions.

Skills:

  • Requirements of the position are consistent with the responsibilities and duties of persons within the food service profession in adherence with all state and federal guidelines.
  • Tolerate exposure to water and cleaning chemicals, higher than normal noise levels, and heat and humidity consistent with that produced by commercial kitchen equipment.
  • Must demonstrate adequate physical strength and coordination to effectively clean and receive supplies while properly utilizing standard food service utensils and equipment.
  • Must be able to safely lift and move 50 pounds, work from a stepladder, walk and stand for prolonged periods of time, bend, reach, pull and push.
  • Must also be able to manipulate utensils and equipment repetitively for variable periods - up to 50% of an assigned shift.
  • Must be able to load, transport, unload, setup, breakdown, and return all food related supplies and equipment for catering events.
  • Must be mobile between workstations and other dining areas on campus
  • Must have a valid Massachusetts Class III driver's license.
  • Must complete and comply with all college driving credentialing requirements.
  • Upon award of this position, a Division of Motor Vehicles background check will be completed. Must meet the Federal DOT medical certificate requirements.
  • Must possess basic computer skills including receiving and sending emails, ordering relevant catering supplies from purveyors and sign-making.

Essential Functions

Classroom:

Plan and implement a hands-on, interactive curriculum appropriate for your assigned grade level. Teach in a collaborative, in-person environment. Work closely with teachers, specialists in the school (music, art, Spanish, P.E. and technology teachers; librarian; learning specialist; consulting psychologist) and administrators.

Essential Functions

Emergency Dispatching & Response Coordination 50%

  • Utilize state and federal databases (e.g., NCIC, CJIS) to run license, warrant, and criminal history checks at officer request and as authorized.
  • Review logs, emails, training documents, and CJIS outputs at the start and throughout each shift.
  • Assist Campus Safety officers with community engagement and safety initiatives.

Training, Compliance, and Confidentiality 10%

  • Attend all required departmental meetings and training sessions.
  • Maintain certifications, including CJIS clearance, CPR, and First Responder credentials.
  • Adhere to department chain of command for communications and reporting.
  • Follow department policies and procedures and uphold strict confidentiality of all records and communications.

This position is part of a team that operates 24/7/365. Shift assignments may include nights, weekends, and holidays. Uniforms are provided. All offers are contingent on successful completion of a background check, including CJIS clearance.

Minimum Qualifications

High School Diploma or Equivalent + 1 to 5 years of experience in law enforcement, public safety, security, or emergency dispatching.

Knowledge of:

  • Relevant experience in law enforcement, public safety, security, or emergency dispatching.
  • Proficiency with Microsoft Office and ability to quickly learn and use new software (IMC, EMS, ARMS, CJIS, OneCard, etc.).

Skills

  • Relevant experience in law enforcement, public safety, security, or emergency dispatching.

Project Management (30%):

  • The Assistant Director will lead project management for the Alumnae Leadership and Career Engagement program under the direction of the Director.

  • The Assistant Director serves as the project manager and lead for the Reunion Student Program (RSP), and is responsible for the planning, coordination, and execution of student hiring at Reunion.
  • For this work, the Assistant Director of Alumnae Career Programs maintains a dotted-line supervisory relationship with the Director of Alumnae Engagement, whose team has primary responsibility for the overall Reunion program.
  • In this capacity, the Director of Alumnae Engagement provides consultation and guidance to ensure that the Reunion Student Program is in alignment with Reunion timelines, priorities, and overall strategy.
  • This structure is intended to support clarity, coordination, and effective collaboration across teams, and does not replace primary supervisory responsibility which remains with the Director of Alumnae Leadership and Career Engagement.
  • The Assistant Director will coordinate hiring, training, scheduling, and supervision of student employees supporting Reunion programming, including maintaining timelines, workflows, and communications related to RSP and partnering with administrative staff and campus colleagues to ensure successful execution.
  • During the Reunion planning and execution period, this work is prioritized and other responsibilities scaled back to make space.

Job Description

Primary Function:

Responsible for assisting in administering a complete health and safety program for Smith College precollege program students and staff consistent with Smith College, and the Precollege Health Care Plan approved by local medical practice. This is a 6-week position, running June 24 - August 2, 2026, with part-time work for the first two weeks and 35-40 hours per week for the remaining four weeks. Evening and weekend coverage is required. The hourly rate ranges from $17-$20 and is commensurate with experience.

Essential Job Functions:

  • Ensure the health and safety of precollege students and staff following established program policies and procedures and the Center for Disease Control. Create and maintain an emotionally and physically safe health service environment for students and staff.
  • Maintain Health Forms and other health-related documents through SchoolDoc for students and staff. Log all treatment to students and staff daily. Uphold patient confidentiality and HIPAA requirements.
  • Perform first aid and dispense OTC medications under the guidance of the signed Standing Orders or original prescription mandate.
  • Pass pertinent student health information to the appropriate staff before student arrival and as needed throughout the program.
  • Ensure that all prescriptions and medicines are properly labeled and locked in the medicine cabinet or refrigerator.
  • Maintain first aid kits and logs for on campus, field trips and any other location that is deemed necessary and appropriate, with weekly upkeep and replenishment.
  • Maintain clear communication with other health team members and the Health Supervisor.
  • Adhere to practices in completing incident reports.
  • Facilitate emergency medical issues with initial medical assessment and triage.
  • Set a good example for students and staff. Be a positive role model in terms of responsibility, sportsmanship, punctuality, respecting the environment, cleanliness, and manners.
  • Participate in staff meetings and training, where applicable.

Minimum Qualifications:

  • 3Nursing Assistant/CNA or EMT required.
  • Current First Aid and CPR certification; experience in a medical field; experience in a medical facility preferred.
  • Minimum Education: High school diploma or equivalent.
