Retirement Plans Account Specialist

We are seeking an organized, detail-oriented professional with strong communication skills to serve as a Retirement Plans Account Specialist in our South Hills office in McMurray, PA. This position plays a key role in supporting the delivery of retirement plan advisory services through coordination of administrative processes, client servicing, reporting preparation, plan conversions, and documentation oversight. The individual will collaborate with internal teams and external partners to help ensure a consistent, high-quality client experience and efficient department operations. This positions offers a hybrid work schedule with work from home opportunity.
Key Responsibilities
Responsibilities include, but are not limited to:
- Provide timely administrative and operational support to retirement plan clients and advisory team members
- Respond to client inquiries and assist in resolving questions or issues related to accounts
- Maintain consistent communication with clients, prospects, and external partners
- Document interactions, workflows, and activity in the firm CRM (Salesforce)
- Support preparation and distribution of quarterly investment review reports
- Coordinate with third-party administrators, recordkeepers, and investment partners to obtain service information, platform updates, and pricing information
- Prepare and update participant communication and education materials and presentations
- Review paperwork for completeness and accuracy; guide clients on documentation requirements
- Facilitate plan conversions, transfers, and account onboarding activities
- Coordinate recordkeeper transitions to ensure a smooth and efficient client experience
- Maintain electronic records and client files in accordance with firm standards
- Participate in client and prospective client meetings as needed
- Conduct participant education sessions when appropriate
- Collaborate effectively with internal team members and take ownership of assigned outcomes
- Represent the firm through participation in client and networking events
- Perform additional duties as assigned by management
To be considered for this position, you should possess the following qualifications:
- Associate or bachelor’s degree (Business or related field preferred)
- 2+ years of experience in financial services (retirement plans, advisory, or banking preferred)
- Proficiency in Microsoft Office (Word, Excel, PowerPoint)
- Experience with CRM platforms (Salesforce preferred)
- Familiarity with retirement plan tools (RPAG preferred)
- Strong organizational and time-management skills
- Professional communication and client service orientation
- Attention to detail and accuracy in documentation and reporting
- Ability to manage multiple priorities in a collaborative team environment

Essential Duties and Responsibilities
Reviews proposal specifications and drawings, attend pre-bid meetings, etc. to determine scope of work and required contents of estimates.
Prepares estimates by calculating complete takeoff of scopes of work and soliciting pricing from qualified vendors and subcontractors.
Develops and maintains a thorough understanding of the provisions and requirements of all contract documents, including plans, specifications, owner’s contract, subcontracts and purchase orders.
Interfaces with the client as his primary contact; receiving and communicating initial project setup information and periodic project status, writing significant project related correspondence, and representing the Company in meetings all interested parties.
Organizes and executes the project safety compliance program within the guidelines of company policies. Initiate project safety meetings for on-site supervisors and labor force.
Develops and maintains a thorough understanding of the provisions and requirements of all contract documents, including plans, specifications, owner’s contract, subcontracts and purchase orders.
Organizes and plans the execution of physical work.
Develops the project schedules and directs its long-term planning and execution.
Prepares quotes and negotiates contract changes with the General Manager’s guidance.
Communicates/coordinates schedules and plans with subcontractors and vendors.
Maintains open communication with all other support and business units involved with the project.
Maintains an open line of communication with the local union officials.
Recognizes on-site activities which may impede project progress or jeopardize compliance to project/contract requirements.
Prepares and submits related informational documents to the client or other responsible parties and implements corrective measures.
Maintains strict control of the project budget for each work activity. Reports monthly on the progress and current profitability of the project.
Writes subcontracts and purchase orders for field generated purchases and contracts. Reviews and approves related subcontractor and vendor invoices and change requests.
Promotes goodwill with clients, subcontractors, engineers etc., to facilitate construction activities and future repeat business.
Supervises the project activities of the on-site project engineer, field superintendents and other field resources.
Participates in bidding, pre-construction services, budgeting and Continuous Improvement Programs.
Required Skills
Proficient with Microsoft Office products and the ability to become familiar with the various types of construction centric software for estimating, scheduling and project management.

- Maintain forklift equipment, complete daily inspections, and ensure proper shutdown and charging procedures.
- Document all shipping and receiving activities thoroughly and accurately.
