This hybrid position plays a critical role in supporting the firm’s daily operations, overseeing human resources functions, and managing billing administration. The Office Manager will serve as a key point of coordination between employees, leadership, clients, and vendors to ensure operational efficiency, compliance, and accurate financial processes.

Responsibilities

Office Management:

• Oversee daily office operations to maintain an efficient, organized, and productive work environment.
• Manage office supplies, equipment, vendor relationships, and facility maintenance.
• Coordinate internal communications, meeting schedules, and company events.
• Develop and implement office policies, procedures, and process improvements.

Human Resources:

• Administer the full employee lifecycle, including recruitment, onboarding, and offboarding.
• Maintain employee records and ensure compliance with federal, state, and local employment laws by maintaining up-to-date policies, procedures, and the employee handbook.
• Process new hire paperwork, background checks, and benefits enrollment.
• Coordinate employee benefits programs, including wellness initiatives, health insurance, retirement plans, and leave programs.
• Process bi-weekly payroll by ensuring all employee data, including timecards, status changes, and related updates, is accurate and up to date.
• Manage performance review cycles and assist management with HR documentation.
• Serve as the first point of contact for employee inquiries related to HR policies, benefits, or workplace concerns.
• Support employee engagement initiatives and help maintain a positive company culture.

Billing Administration:

• Prepare and distribute monthly WIPs to attorneys for review and processing.
• Prepare and send client invoices accurately and on schedule.
• Review attorney-entered monthly billable hours and issue late-time reports to management.
• Provide management with monthly attorney and paralegal time reports for partners’ meetings.
• Track payments, follow up on outstanding balances, and maintain accounts receivable records.
• Review and verify vendor invoices and assist with accounts payable processing.
• Maintain billing files, contracts, and documentation for audit readiness.
• Generate billing reports for leadership, ensuring accuracy and clarity.
• Collaborate with the finance team to reconcile accounts and ensure correct financial data entry.

Qualifications

• Prior experience in office management within a professional services or law firm environment preferred.
• Experience managing HR processes including onboarding, employee records, benefits administration, and payroll.
• Experience supporting legal billing functions including WIPs, invoicing, and accounts receivable.
• Strong organizational, communication, and problem-solving skills.
• Ability to manage multiple responsibilities in a fast-paced environment while maintaining attention to detail.
• Proficiency in Microsoft Office and familiarity with billing, payroll, and HR management systems preferred.

The Sr. Maintenance Technician is a senior, hands-on technical role responsible for advanced diagnostics, repair, and optimization of production and facility systems. This position serves as the site’s technical authority for complex electrical, HVAC, mechanical, pneumatic, hydraulic, and PLC-assisted equipment issues and plays a key role in equipment reliability, safety compliance, and mentoring of maintenance personnel.

• Diagnose and repair complex failures in production and facility equipment using structured root-cause analysis.
• Troubleshoot and repair industrial electrical systems, including control circuits and power distribution systems at 120V, 208V, 220V, 240V, 277V, and 480V.
• Install, troubleshoot, and replace single-phase and three-phase motors, including starters, contactors, overloads, and associated controls.
• Support troubleshooting of PLC-controlled equipment through fault analysis, input/output verification, and interface diagnostics.
• Perform advanced mechanical repairs including bearings, gearboxes, chains, belts, shafts, and alignment.
• Diagnose and repair pneumatic and hydraulic systems including valves, cylinders, regulators, pumps, and pressure systems.

• Troubleshoot and repair HVAC systems including rooftop units, heating, cooling, ventilation, exhaust, and make-up air systems.
• Diagnose airflow, temperature control, and system sequencing issues; coordinate with external vendors when required.
• Support facility utility systems such as compressed air, ventilation, and related infrastructure.

• Perform all work in compliance with Lock-Out/Tag-Out (LOTO) and NFPA 70E arc-flash safety requirements.
• Assist the Maintenance Supervisor with life-safety inspections, electrical safety audits, and NFPA compliance activities.
• Identify reliability risks and recommend corrective actions, PM improvements, and spare parts strategies.

• Act as the technical escalation point during equipment downtime and emergency situations.
• Prioritize and coordinate maintenance response to minimize production impact.
• Provide hands-on technical guidance, mentoring, and training to maintenance team members.
• Support maintenance activities at remote facilities as directed.
• Accurately document work performed using CMMS or work order systems.

• Minimum of five (5) years of industrial maintenance experience in a manufacturing or distribution environment.
• Demonstrated experience with industrial electrical systems, including control voltage and power distribution.
• Proven ability to troubleshoot and install single-phase and three-phase motors.
• Hands-on experience with HVAC troubleshooting and repair.
• Working knowledge of PLC-based equipment troubleshooting.
• Strong background in hydraulics and pneumatics.
• Proficient in MIG welding.
• Knowledge and practical application of LOTO and NFPA 70E arc-flash safety standards.
• Moderate computer skills and experience using maintenance management systems.
• Experience operating forklifts and powered industrial equipment.

Qualifications

• Bachelor’s degree in Civil Engineering from an ABET-accredited program
• Licensed Professional Engineer (P.E.) in at least one U.S. state
