What you'll own:
- Inbox management — I want to never have to open my email if I don't have to. You own it.
- Calls & texts — Fielding and responding to clients and agents on my behalf
- Calendar protection — You guard my time like it's yours
- Listing coordination — Inputting listings to MLS, coordinating photos and staging, collecting showing feedback, and keeping sellers in the loop so I don't have to
- Contract-to-close management — Once we're under contract, you're the point person. Track key dates, coordinate with title, lenders, and vendors, manage paperwork, and make sure nothing falls through the cracks
- Home analysis & contract writing — Supporting the deal side of the business
- All the misc. tasks — The 3-minute, 10-minute, 20-minute things that quietly eat my day. You handle them so I don't.
The goal is simple: 80% of my time goes to the 20% of activities that actually drive revenue. Everything else runs through you.
Who you are:
- You have real estate experience in some capacity — you know the pace, the vocabulary, the stakes. EA/admin experience is also considered.
- You are an ops person at heart — you're not here to run the show, and you don't want to. You want to be the right hand to the person who does.
- You are genuinely warm and service-oriented — clients and agents aren't interruptions. They're the whole point. Every time you answer the phone, respond to a message, or interact with someone on my behalf, you're representing me.
- You are obsessively detail-oriented — missing things is not an option.
- You are a self-starter — I'll teach you everything I can, covering probably 80% of what you need. The other 20% you figure out on your own.
- You are comfortable with directness — I don't want to have to dance around feedback or sugarcoat things.
- You are proactive, not reactive — You're already thinking about what I need next before I ask.
- You can manage up — If I throw 10 things at you and the realistic answer is 6, you tell me that.
- You communicate well and keep me in the loop — especially early on.
- You are adaptable — This role will evolve. Change doesn't throw you off — it energizes you.
- You have real-world flexibility — Real estate doesn't work 9–5, and neither does this role.
What this looks like practically:
- Full-time position from day one
- In-person for the first 30–90 days — this is non-negotiable. We build trust face-to-face.
- Hybrid (work from home + in-person) once you've earned that flexibility
- 90-day trial period — this protects both of us.
- $54,000/year base salary + bonus — with realistic upside of $75K+ in year one

Key Responsibilities
Purchasing & Procurement
- Own decisions on what, when, and from whom to purchase, aligned with sales, rentals, and project demands
- Execute procurement of transformers, switchgear, and related electrical equipment
- Evaluate vendor pricing, capacity, reliability, and lead times
- Negotiate pricing, payment terms, freight, and warranties
- Ensure purchasing supports margin targets and working capital priorities
Inventory Strategy & Optimization
- Develop and manage inventory strategy across stocked, rental, and project‑based equipment
- Set and manage min/max levels, reorder points, and safety stock
- Monitor stock positions and proactively resolve shortages or excess
- Balance inventory turnover with readiness for revenue opportunities
- Collaborate with Sales & Operations to align inventory to forecasted demand
Financial Impact & Cash Flow
- Assess financial implications of each procurement decision
- Optimize inventory investment to support DSO, cash flow, and margin performance
- Track aging inventory; recommend corrective actions for slow‑moving or excess items
- Support budgeting and forecasting tied to inventory and procurement
Vendor Management
- Build strong relationships with OEMs, remanufacturers, and suppliers
- Track vendor performance (pricing, lead times, quality, responsiveness)
- Serve as escalation point for supplier issues
- Identify and vet new vendors to support growth and reduce risk
Cross-Functional Collaboration
- Partner with Sales, Project Management, Operations, and Accounting
- Provide visibility into inventory levels, timelines, and sourcing constraints
- Support sales efforts by validating availability, lead times, and sourcing options
- Enable faster, more informed quoting and deal execution
Systems, Process & Continuous Improvement
- Maintain accurate purchasing and inventory data
- Improve procurement workflows as the company scales
- Establish clear SOPs, documentation, and purchasing controls
- Contribute to company playbooks and operational standards
Qualifications & Skills
- 5+ years in purchasing, procurement, or inventory management
- Experience with inventory management systems (Cin7 a plus)
- Background in capital equipment or industrial environment highly preferred
- Strong understanding of inventory finance: margin, working capital, cash flow
- Skilled negotiator with strong vendor management abilities
- Analytical, data‑driven, and financially minded

POSITION SUMMARY/RESPONSIBILITIES

Pay Range: $34.50 - $48.81
Pay is based on experience, skills, and education. Exempt positions under the Fair Labor Standards Act (FLSA) will be paid within the base salary equivalent of the stated hourly rates. The pay range may also vary within the stated range based on location.
