About the Role:
The Operational Training & Development Manager is responsible for strengthening and standardizing operational job-training across CommunityAid markets. This role builds structured, role-based training pathways using existing documentation, improves the clarity and consistency of training materials, and develops store-level trainers into capable instructors and coaches. The measurement of success for this role is improvement in three key training metrics: time to competency, retraining frequency, and items sold per labor hour.
Partnering closely with Operational Leadership, Store Managers, and in-store trainers, this role builds practical, repeatable training systems that improve the effectiveness of job-specific training (new hires and cross-training), reduce the need for retraining, and support measurable operational performance. The position ensures training reflects current operational standards and aligns with improvement initiatives supported by the Continuous Improvement (CI) function.
The Operational Training & Development Manager advises Operations and CI leadership on training standards and certification approaches, while providing feedback from the field to strengthen training execution and support process consistency. This role develops capability across stores but does not directly supervise store-level trainers.
KEY AREAS OF RESPONSIBILITY:
Training System Development
- Builds structured, role-based training pathways for production, retail, donation, and warehouse functions
- Improves clarity, usability, and consistency of existing training guides and SOPs
- Organizes and updates training materials to ensure accessibility and alignment with operational expectations
- Develops practical tools such as training checklists, observation forms, and competency benchmarks
- Build and maintain the training system of record (e.g., HRIS/LMS platforms), ensuring accurate tracking of training completion, certifications, and reporting for operational and leadership visibility.
Trainer Development & Field Support
- Develops in-store trainers, supervisors, and Assistant Store Managers (ASMs) in instructional delivery, observation, coaching, and feedback
- Creates practical guidance for store trainers, supervisors, and ASMs on how to teach, demonstrate, and certify associates
- Conducts in-market training of trainer sessions for store trainers, supervisors, and ASMs
- Provides structured feedback and coaching to improve trainer effectiveness
- Models strong training and coaching behaviors in operational environments
- Store Managers retain personnel authority over store-level trainers.
Training Effectiveness & Continuous Improvement Alignment
- Partner with Operations to identify onboarding and performance gaps and adjust training materials accordingly.
- Track and analyze training effectiveness and operational impact metrics, including time to competency, retraining frequency, and items sold per labor hour.
- Apply structured problem-solving to improve training systems, clarity, and execution.
- Support CI-led improvement rollouts through structured training deployment and provide field feedback to inform refinement.
- Advise Operations and CI leadership on strengthening training systems and certification approaches that reinforce standard adherence and continuous improvement behaviors.
Change Support & Operational Partnership
- Integrates new operational initiatives into training materials and delivery
- Supports adoption of new processes through structured training reinforcement
- Collaborates with Operations and Continuous Improvement leadership to align training with evolving standards
- This role supports change implementation but does not independently lead enterprise change initiatives.
Operational Knowledge
- Maintains working knowledge of donation intake, production processes, warehouse flow, and retail operations
- Ensures training materials reflect real-world operational conditions

Job Description
Precision Tile Works, Inc, a 20-year-old South Central PA based commercial ceramic tile contractor is seeking to hire an experienced Office Administrator to support our expanding, project-driven construction operations. This position plays a critical role in managing daily administrative operations, accounting and bookkeeping activities, and payroll coordination. The Office Administrator serves as a primary contact between field operations, vendors, general contractors, and company leadership. This role ensures accuracy, compliance, and timely execution of all administrative and financial workflows.
This is a full-time, in-house position. Candidates must currently reside locally; relocation applicants will not be considered.
Responsibilities:
Administrative & Office Management
- Manage all business licenses, permits, certifications, and renewals
- Process incoming contracts, prepare documents for execution, and archive fully executed agreements
- Maintain company calendars, meetings, and schedules
- Scan, organize, and file contracts, correspondence, and project documentation (digital and physical)
- Manage OCIP/CCIP enrollments and submit required monthly payroll reports
- Prepare and submit certified payrolls as required
- Request, track, and submit Certificates of Insurance (COIs) for all active projects
- Prepare, verify, and track General Contractor and supplier lien waivers
- Handle company notary requirements
- Screen, log, and route incoming calls and communications
- Maintain office supply inventory and place orders as needed
- Coordinate and support year-end tax preparation and document submission to company accountant
Accounting & Bookkeeping
- Perform daily bookkeeping functions including accounts payable and receivable
- Review vendor invoices against purchase orders and job cost spreadsheets; resolve discrepancies with vendors
- Reconcile bank and credit card accounts monthly using QuickBooks Online
- Track job costs including supplier invoices, subcontractor payments, and labor hours
- Prepare monthly project summaries to support billing and financial review

- Track Sales and Use Tax liabilities and prepare quarterly filings
- Process and deposit incoming checks
- Compile and submit 1099 documentation for year-end reporting
- Coordinate with the company accountant on complex accounting matters
Payroll
- Track employee hours by job using Intuit Time, GPS data, and employee confirmations
- Process weekly employee payroll using QuickBooks Assisted Payroll
- Process weekly subcontractor payments in coordination with the project management team
Qualifications and skills:
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook)
- Proficiency with QuickBooks Online
- Demonstrated bookkeeping and accounting experience, preferably in construction or a project-based environment
- Must have a professional demeanor and be knowledgeable of proper email etiquette

RESPONSIBILITIES:

Ensures all paperwork is completed according to established company and governmental guidelines (e.g., DOT electronic or manual logs, inspections, company vehicle maintenance reports and pre- and post-trip reports are completed accurately and submitted on a timely basis, ensures all invoices are accurate and turned in daily and all damages and shortages are reported promptly).
Ensures all food safety protocols are met according to established guidelines (e.g., proper temperatures are maintained in the delivery vehicle, product is inspected for visible damages prior to delivery, product is delivered and stored to prevent cross contamination) and maintains sanitary conditions in tractor and trailer; assists with maintaining sanitary conditions in the warehouse and yard.
Develops and establishes good relationships with customers by providing excellent and courteous service with clear communication.

REQUIRED MINIMUM EDUCATION/EXPERIENCE:
High school diploma/GED/equivalent degree, plus one (1) year of tractor trailer driving experience preferred Completion of a tractor trailer driving school will be accepted instead of, or in addition to a high school diploma.
Ability to read and speak the English language sufficiently to converse with the general public, to understand highway traffic signs and signals in the English language, to respond to official inquiries, and to make entries on reports and records.
CERTIFICATIONS AND/OR TECHNICAL REQUIREMENTS:
Valid Class A Commercial Driver’s License. Must be insurable to operate a vehicle as a condition of initial and continued employment.
KNOWLEDGE, SKILLS, AND ABILITIES:
Knowledge of: DOT regulations; Hazmat guidelines; Safe lifting and delivery practices.
Skill in: driving over long distances, over a variety of terrains and in varying weather conditions, communicating with customers; solving problems; delivering product.
Ability to: drive a tractor-trailer unit both in the day and at night, remain alert and aware of surroundings; meet or exceed minimum productivity levels established by the Company; handle hazardous materials and food and restaurant items that are frozen, dry and refrigerated; operate a 3 axle tractor, 45' - 48' trailer, straight truck, on board computer, key pad and a 2 wheel hand cart; read, write and communicate in English as it relates to the job and to the safety regulations; perform basic math functions (e.g. add, subtract, multiply, divide); effectively plan and organize work activities independent of direct supervision; solve problems.

While performing the duties of this job, the associate is regularly required to sit, talk, and hear. The associate is frequently required to lift, push, or move product that weighs up to 50 pounds by hand and push/pull up to 350 pounds of product with a 2-wheeled hand cart down a ramp and into the customer’s storage areas; climb in and out of a tractor and trailer; reach to stack and unstack pallets and hand cart; bend and twist while loading and unloading product, and retrieving items from trailer. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.

While performing the duties of this job, the associate is occasionally exposed to wet, hot, extreme cold and/or humid conditions; and moving mechanical parts and may be required to work in confined spaces. The associate usually works an overnight schedule, including weekends, holidays, overtime, on-call and starting at various times are required to successfully meet customers’ needs. The associate is occasionally exposed to high, precarious places, fumes, or airborne particles. The noise level in the work environment is usually moderate.
