Position Summary
The Retail Project Support Coordinator provides critical support to the Retail Project Management and Retail Sales teams, ensuring seamless coordination of projects from order to completion. This role acts as a liaison between Project Managers, Sales, and Service teams to ensure equipment, materials, and logistics are accurately tracked and delivered according to project timelines.

Key Responsibilities
- Provide day-to-day administrative and coordination support to Retail Project Management and Retail Sales teams.
- Maintain daily updates for revenue updates and be able to advise if there are any discrepancies.
- Organizing and updating project plans, schedules, budgets, and contracts.
- Manage, and maintain comprehensive project documentation and reports.
- Prepare daily or weekly reports outlining discrepancies, shortages, and fulfillment updates.
- Maintain tracking sheets, project logs, and alert systems.
- Assist with project documentation, CRM updates, and coordination of purchase orders and service back billing.
- Contribute to process improvement and administrative efficiency within Retail Operations.
- Assist in managing project plans and coordinating scheduling with contacts as needed.
- Serve as a liaison between Project Managers, Sales, and Service to ensure efficient communication and project execution.
- Maintain equipment and material tracking to ensure availability for upcoming orders.
- Gain technical knowledge of refrigeration, electrical, and catering equipment.
- Develop and understanding of asset management and be able to provide updates to project management team on any noticed discrepancies or upcoming issues.
Reporting
- Maintain daily updates for revenue tracking with basic functions of excel (line entry, filters, sorting).
- Be proactive on ensuring POs are received in a timely fashion and ability to utilize multiple portal types to access POs from customers as needed.
- Ensure all documents are maintained for customers to set up properly with our finance team and within our CRM.
Equipment & Materials Support
• Track and manage retail specific material and equipment.
• Research vendor and resource options related to power and equipment.
Qualifications & Skills
- Proven experience in project coordination, logistics, or administrative support (preferably within operations or service-related industries).

RESPONSIBILITIES:
CONTRACT SUPPORT
- Work with Rinnai Associates to implement all contractual agreements, including sales-based programs, with required documentation and management approvals via CLEAR Workflow
- Manage contract tracking process including but not limited to drafting, review, editing, proper approvals, signatures, and final distribution.
- Maintenance of all contracts and legal documents; electronic and hard copy
- Analyze contract requirements, special provisions, terms, and conditions to ensure compliance with corporate policies and procedures.
- Implement, develop, and maintain the Cobblestone data base for contracts and legal documents with electronic copies via a contracts management solutions application.
- Assist in the negotiation of contract terms when necessary.
- Secure and file all contracts in a single, centralized location.
- Readily retrieve contracts and contract details.
- Track all contract commitments with the use of contract administration tools.
- Prepare reports for management as necessary showing the status of contracts and outstanding commitments.
- Communicate contract changes to management for approval.
- Develop contract review and renewal process to capture business and organizational changes.
LEGAL SUPPORT
- Work directly with General Counsel and other designees as needed.
- Research and investigate facts and prepare documents, as necessary, to assist General Counsel.
- Research and analyze law sources to prepare legal documents.
- Prepare and maintain document files.
- Communicate and coordinate with General Counsel, internal clients, and outside counsel.
- Assist with claims, litigation matters, patent and trademark issues, and regulatory filings.
- Provide support and legal assistance in drafting, preparing, filing, organizing, and distributing legal documents.
- Perform a variety of administrative and staff support services, which may include routine clerical duties.
- Assist, as needed, with licensing and regulatory reporting requirements.
- Coordinate response to legal requests and/or subpoenas.

REQUIREMENTS:
KNOWLEDGE
- The successful candidate requires the minimum of a high school diploma or equivalent.
- An Associate's or bachelor's degree preferred.
- A minimum of 5 years of experience in an office support environment is required.
- Prior experience in a corporate law department, law firm or with legal documents is required.
- Strong knowledge of contract and business law, practices, principles, and procedures.
SKILLS
