Title: Specialist I, Logistics Data


Job Summary: The Logistics Data Specialist is responsible for managing logistics master data, validating transactional accuracy, and delivering analytics that support transportation planning, customs execution, warehousing, and freight settlement. This role partners with Operations, Procurement, Trade Compliance, and Finance to ensure information reliability and actionable reporting.


Responsibilities include:

  • Maintain carriers, lanes, rates, BOMs, HTS, and partner master data in TMS/WMS/SAP.
  • Perform audits on shipments tracking milestones, POD, cost allocation, and accrual triggers.
  • Identify root causes of data discrepancies and implement corrective actions.
  • Build SOPs for data entry, validation logic, and exception handling
  • Develop dashboards for OTIF, GIT, transit time, freight spend, accessorial, claims, and capacity utilization.
  • Provide weekly/monthly KPI packs to operations leadership.
  • Support budget vs. actual analysis and PR forecast modeling.
  • Translate business requirements into SQL/BI outputs.
  • Validate rating, fuel, and accessorial charges.
  • Support three-way match among PO, shipment, and invoice.
  • Prepare accrual and variance reports.
  • Assist audit requests from Finance
  • Act as super-user for TMS/WMS modules.
  • Drive automation to reduce manual work
  • Work with transportation, warehouse, procurement, and customs teams to improve data transparency.
  • Provide data analysis for RFPs, network optimization, and vendor reviews
  • All other duties as assigned


Qualifications:

  • Bachelor’s degree in supply chain, Logistics, Business Analytics, or related discipline
  • 2+ years in logistics, transportation analytics, or supply chain systems.
  • Experience working with freight invoices, carrier data, or brokerage information is highly valued
  • Advanced Excel (pivot tables, power query, xlookups).
  • SQL or similar database querying.
  • BI tools such as Power BI, Tableau, or Looker.
  • Familiarity with SAP/TMS/WMS environments (e.g., SAP, Oracle, MercuryGate, etc.).
  • Strong analytical reasoning.
  • High attention to detail.
  • Comfortable in fast-moving, build-phase environments.

The Logistics Coordinator will be involved in both inbound and outbound logistics in a supporting role of the team that is in place today. The role will be involved with inbound freight bookings and related costs, including tracking tariff expenses related to international inbound shipments.


Outbound logistics involved both domestic and international shipping based on carrier rates and customer carrier preferences. A knowledge of typical freight terms and contracts is preferred.

Monthly spend analysis is necessary for expense reporting to leadership. This requires assimilation of data from multiple sources and synthesizing the data so that the output to leadership is concise, yet informative.


Responsibilities

  • Work with department leadership to track inbound freight spending related to ocean, air, drayage, and duty/tariff cost
  • Review inbound freight invoices for accuracy – invoice reviews will include emails, invoice files, and the COUPA purchasing system
  • Develop inbound freight reporting
  • Schedule outbound freight pickups and/or obtain freight rates while working with customer service team members and distribution shipping team members
  • Perform Freight company invoice audits
  • Carrier performance reporting
  • Attend logistics planning meetings with supply chain partners
  • Analyze carrier rates and transit times to select the best shipping method
  • Carrier relations and escalations when necessary


Experience, Skills, & Ability Requirements

  • College Degree preferred with a supply chain focus
  • 1-3 years of experience working in logistics, in leu of a bachelor’s degree
  • Basic M.S. Excel skills and the ability to adapt to new systems
  • Preferred candidates will have experience with the ACE Portal and with CTPAT Requirements
  • Preferred experience with Transportation Management System (TMS) logic
  • Must have excellent communication skills via email, in-person, virtual meetings, and over the phone

Your Role:

  • Responsible to ensure compliance with Regulatory, Corporate and Local Quality requirements and for providing Quality oversight of Vantive US and Canada warehousing and distribution operations, including internal warehouse site QA activities, internal renal fleet drivers, external warehousing partners (i.e., 3PL providers, wholesalers, freight forwarders and consolidation/ deconsolidation centers), and external transportation providers.

  • Act as a key partner with US and Canada Vantive Operations (including Supply Chain, Logistics and Fulfillment) to manage Quality requirements and oversight of all 3PL activities.

  • Responsible for compliance with FDA and Health Canada requirements, ISO standards and Vantive QMSby applying rigorous quality standards, including Standard Operating Procedures (SOPs) and Current Good Manufacturing Practices (cGMP).

What you'll be doing:

  • Responsible for the implementation of Distribution QA activities to ensure compliance to FDA and Health Canada requirements. This includes activities related to issue management (product dispositions, deviations, complaint investigations, holds), site QA management (pest control, temperature monitoring, returns, validation) and internal/supplier/3PL QA management (warehouses, internal private fleet, transportation carriers, suppliers impacting fulfillment).

  • Participate in discussions and on projects and cross-functional teams as required.

  • Support distribution and warehousing-associated external suppliers which includes audit support, supplier corrective action requests, quality/distribution agreements, new supplier requests, supplier notifications of change and change controls.

  • Work closely with UCAN planning and fulfillment organizations to meet business goals and objectives.

  • Facilitate and assist in GMP, ISO, US state distribution/pharmacy licensing and other internal/external audits and investigations pertaining to Vantive and/or 3PL facilities, where applicable.
