(Part-Time | Remote)
Location: Fully Remote, Open to Any Time Zone
Schedule: Part-Time, up to 15 to 20 hours per week (Mondays required)
Pay: Up to $24/hour
Type: Temporary, approximately 3 months with potential to extend
Overview
We are looking for a detail-oriented and organized Onboarding Coordinator to support a growing healthcare organization on a part-time remote basis. This is a project-based role focused entirely on delivering a smooth and compliant onboarding experience for new hires across the country. If you have a strong HR or People Operations background, experience in healthcare, and are comfortable leading virtual orientations independently, this could be a great fit.
Schedule Breakdown
- Mondays are required, virtual orientation days running approximately 4 hours including prep, orientation facilitation, and follow-up
- Tuesdays are the primary admin day for processing new hires starting the following week
- Wednesday through Friday are flexible for follow-up activities as needed
Key Responsibilities
- Facilitate weekly virtual new hire orientations covering I-9 documentation, system access, benefits eligibility overview, time-off policies, and Q&A
- Coordinate pre-onboarding logistics including background checks, drug screens, and TB test follow-up with candidates ahead of weekly deadlines
- Enter approved new hires into the HRIS system and submit IT tickets to provision system access, email accounts, and login credentials
- Pull, verify, and file professional licenses for clinical staff including therapists, dieticians, LCSWs, APCs, and ACSWs, logging expiration dates in the credentials tracking system
- Send orientation welcome emails, calendar invites, and courtesy notifications to hiring managers and the People Ops team
- Log all new hire information across applicable tracking spreadsheets and maintain records in a shared Google Drive
- Monitor IT access post-start and follow up with the IT department to resolve any outstanding access issues
- Communicate start date changes to the recruiting team when candidates miss weekly processing deadlines
Requirements
- Paychex experience is required, must be able to operate the system with minimal ramp-up
- Healthcare industry experience is required, particularly familiarity with clinical staff credentialing including LCSW, APC, ACSW, and similar licenses
- Comfortable conducting and leading virtual orientations independently on a weekly basis
- Highly organized with exceptional attention to detail and the ability to manage multiple concurrent new hire files and deadlines simultaneously
- Proficient in Google Drive and comfortable with basic spreadsheet data entry
- Strong written communication skills for both templated and customized email correspondence
- Comfortable working across multiple time zones
- No degree required, relevant experience will be considered
Nice to Have
- Experience coordinating with IT departments for user provisioning
- Familiarity with professional license verification and tracking
- Background in high-volume, fast-paced HR or People Operations environments
