JOB SUMMARY
This position works closely with the Operating Company (OpCo) departments. Assist the merchandising department with transactional activities where needed. Aid in supporting OpCo sales by addressing and resolving questions and requests on time utilizing detailed knowledge of products, systems, and tools. Acts as liaison between OpCo Sales, Buyers, and Category Management as it relates to Merchandising activities.
RESPONSIBILITIES
- Merchandising point of contact for sales, national accounts, and health care account inquiries (communication router).
- Based on information from merchandising and marketing, communicate to sales on any supplier, product or promotional urgent updates.
- Track and trace special orders, demand status late inbound trucks, and other operational requests for the sales team.
- Assist sales on basic inquiries.
- Monitor the drop ship process by confirming orders are shipped and invoiced promptly.
- Process special orders (Non-Stocks).
- Handle demand status orders and ensure timely execution of related activities (confirmations, receiving, and allocation).
- Manage the processes flow for new item stocking requests to ensure timely completion and maintain documentation.
- Create and/or maintain proprietary charting per Manager/Director/VP approval.
- Process all merchandising related scripts including price management and market costs.
- Handle overflow sales support.
QUALIFICATIONS
Education
- High school diploma or equivalent combination of education and experience in place of a degree sufficient to successfully perform essential job functions required.
- Bachelor's degree preferred.
Experience
- 1+ years' experience required.
- Experience in purchasing, merchandising, sales and/or customer service required.
- Experience working within a retail, wholesale or distribution environment preferred.

Description
The Customer Service Administrator supports the Sales and Customer Service teams by accurately processing customer orders and maintaining complete documentation. This role ensures orders move smoothly from quote to booking and serves as a key internal link between Sales, Customer Service, and Document Control.
Key Responsibilities
Order Entry & Accuracy
- Review all confirmed customer purchase orders for accuracy and completeness.
- Accurately enter sales orders into the ERP system daily.
- Maintain an order entry error rate of no more than 3%.
- Meet daily order entry timelines.
Order Review & Record Management
- Maintain accurate and up-to-date customer records in the ERP system.
- Run the open order report daily and ensure all required fields are complete.
- Validate and review orders received through the API feed for accuracy and completeness
Documentation & Compliance
- Complete the Quote Record (QR) process and submit final documentation to Document Control as required.
- File customer documentation on the company file server daily.
- Ensure all order documentation is complete and audit ready.
Team & Administrative Support
- Support Program Managers as needed.
- Draft internal documents, prepare reports, and provide general administrative support.
- Communicate clearly with Sales, Customer Service, and Document Control to resolve order issues quickly.
- Participate in process improvement efforts and help track service metrics.
Qualifications
- High School Diploma or equivalent required.
- 2+ years of experience in customer service, inside sales support, or order administration preferred.
- Basic PC skills, including Microsoft Office Suite.

Education:
- High School Diploma or GED equivalent; 2+ years' experience in retail leadership strongly preferred; or equivalent combination of education and experience.

Assistant Manager pay range: $17.38 - $20.50 per hour with bonus opportunities in addition to base pay if store KPIs are met. Supervisor pay range: $15.00 - $15.00 per hour. All roles are eligible for the company 401K plan. Full time roles will be eligible for medical, dental, vision, sick leave, parental leave, and company-paid time off.
