Legal Administrative Assistant
Full-Time | In-Person | Monday – Friday, 8:00 AM – 5:00 PM
Position SummaryWe are seeking a polished, organized, and proactive Legal Administrative Assistant to join our law firm. This full-time, in-person role is the backbone of our front office and provides essential support to our staff, legal paraprofessionals and attorneys. The ideal candidate thrives in a fast-paced legal environment, presents a professional and welcoming presence to clients, and brings strong computer proficiency — including experience with legal practice management software.
Key ResponsibilitiesReception & Client Relations• Answer and route incoming calls in a courteous and professional manner
• Greet clients, visitors, and vendors warmly upon arrival; ensure a positive first impression
• Manage the reception area to maintain a professional and organized appearance
• Respond to routine client inquiries and direct complex matters to the appropriate attorney or legal paraprofessional
Attorney Support• Provide administrative support including scheduling, correspondence, and document preparation
• Assist with drafting, formatting, proofreading, and filing legal documents
• Maintain and organize physical and electronic case files
• Coordinate court deadlines, appointments, and attorney calendars
• Handle incoming and outgoing mail, faxes, and electronic communications
Software & Administrative Operations• Utilize legal practice management software for matter management, billing, and document tracking
• Perform data entry, maintain client records, and generate reports as needed
• Operate standard office equipment and Microsoft Office Suite (Word, Outlook, Excel) proficiently
• Support general office operations and assist with administrative projects as assigned
QualificationsRequired• High school diploma or equivalent; associate's or bachelor's degree preferred
• Minimum 2 years of administrative, receptionist, or office support experience
• Strong proficiency with Windows-based computers and Microsoft Office Suite
• Excellent verbal communication skills and a pleasant, professional phone demeanor
• Demonstrated ability to multitask, prioritize, and remain composed under pressure
• High attention to detail and strong organizational skills
• Professional appearance and client-facing interpersonal skills
Preferred• Previous experience in a law firm or legal services environment strongly preferred
• Familiarity with PracticePanther or comparable legal practice management software
• Paralegal certificate or background — candidates with paralegal training who prefer an administrative role are strongly encouraged to apply
• Knowledge of legal terminology, court procedures, and document filing protocols
