The Role: We are seeking a proactive and highly resourceful Administrative Assistant to provide vital support to a VP and two AVPs within our Global Talent Management division.

In this hybrid role, you will act as the central hub for the department, ensuring office systems and divisional procedures are administered with precision. Beyond traditional administrative duties, you will be the lead problem-solver for the team—interfacing with internal and external stakeholders to resolve complex issues and providing "all-hands-on-deck" support for onsite office needs and lunches.

Required:

• 5+ years of administrative experience with some experience in a large company corporate setting, with a primary focus on supporting executive-level leadership (VP and above).
• Mastery of complex logistics, including managing multiple high-volume calendars, arranging intricate travel itineraries, and processing comprehensive expense reports.
• Advanced proficiency in Microsoft Office (Word, Excel, Outlook, and PowerPoint), with the ability to manage and administer various documents and spreadsheets.
• Exceptional organizational skills and the "mental agility" to multitask and maintain rigorous attention to detail in an incredibly fast-paced environment.
• Superior communication skills, demonstrating the tact, diplomacy, and discretion required to handle sensitive HR and confidential information.

Preferred:

• Proven success in large organizations, with a deep understanding of how to navigate complex corporate policies, procedures, and cross-functional matrices.
• Expertise in office and event management, including hands-on experience coordinating catering, room logistics, and onsite needs for department summits or leadership offsites.
• Systems and process aptitude, with experience acting as a system proxy and managing department-level payroll or timekeeping (e.g., Workday, Kronos, or similar).
• High interest in Human Resources or Talent Management, showing a proactive desire to support the on-going administration of global HR programs.

Executive Administrative Assistant

Contract: 1-year with potential to extend

Schedule: Hybrid, in-office Tues & Wed, 36.25 hrs/week

Position Overview:

The Executive Administrative Assistant provides high-level support to a VP and two AVPs in Global Talent Management. This hybrid role requires advanced administrative skills, discretion, and the ability to manage multiple priorities in a fast-paced environment. The ideal candidate has problem-solving abilities, flexibility, and experience in larger organizations.

Key Responsibilities:

• Manage multiple calendars, schedule meetings, and coordinate office logistics, including catering and room bookings.
• Organize and maintain files, record-keeping systems, and office layout.
• Support HR and Talent program administration to ensure timely and consistent execution.
• Coordinate travel itineraries, process expenses, and handle payroll/timekeeping tasks.
• Respond to complex or confidential inquiries and escalate appropriately.
• Plan and support departmental initiatives, including meetings, leadership offsites, summits, and team-building events.
• Provide backup support to other administrative staff and act as a proxy for select systems as needed.
• Analyze and improve operational practices, systems, and procedures.
• Build and maintain strong relationships across teams to facilitate collaboration and problem-solving.

Qualifications:

• 7+ years of administrative experience, with emphasis on executive support in a corporate setting.
• Proven ability to manage multiple priorities and calendars in a busy environment.
• Strong proficiency in Microsoft Office (PowerPoint, Excel, Outlook, Word).
• Excellent written and verbal communication skills; professional and customer-service oriented.
• Ability to handle confidential and sensitive information with discretion.
• Strong organizational, multitasking, and problem-solving skills.
• Experience arranging travel, managing expenses, and supporting meetings and events.
• Interest in Human Resources is a plus.
• Adaptable, resourceful, and a collaborative team player.

The Reset Specialist is responsible for performing product resets according to pre-established plan-o-grams, for increasing business by strategically growing space in outlet and for supporting the sales team with execution of sales and marketing plans.

Essential Duties & Responsibilities:

• Coordinate and complete resets in assigned stores according to pre-established plan-o-grams
• Ensure brand, package and promotional goals are reflected in store sets
• Communicate with customers on changes to the store as a result of reset activity
• Sell-in incremental displays, equipment placements and promotional programs
• Support sales team with trade execution including placing racks and other incremental equipment, updating and maintaining proper POS elements and ensuring accounts meet Look of Success (LOS) standards
• Maintain clean and safe work areas at all times
• Adhere to all policies and procedures relating to product age, quality and safety
• Perform other tasks as assigned by supervisor including but not limited to new business solicitation

Job Requirements:

• High school diploma, GED or equivalent required
• 1-3 years of general work experience required
• Previous beverage industry and/or customer service experience preferred
• Experience working with manual or powered pallet jacks preferred
• Must have the ability to repetitively lift, push and pull 50+ pounds, reach above head height, squat, kneel, bend and reach
• Must have the ability to stand and walk for long periods of time
• Must have the ability to push and pull manual and powered material handling equipment (i.e., pallet jack, hand-truck etc.) containing product loads for a minimum of 100 yards without assistance
• Must have the ability to repetitively grasp and manipulate objects of varying size and weight requiring fine motor skills and hand-eye coordination
• Must have the ability to read information in small, medium and large print
• Must be self-motivated with a high degree of integrity and be able to perform job duties with minimal supervision on a timely basis
• Valid driver's license and driving record within MVR policy guidelines
