Essential Job Functions
As a Real Estate Operations Coordinator for our client, you will help run the day-to-day operational engine that supports acquisitions and dispositions. You will own the internal coordination needed to keep transactions moving from contract through close, while also managing the operational details that protect leadership time and keep the business organized. This role is slightly more operational than a traditional transaction coordinator and includes maintaining process consistency, managing documentation and task workflows, coordinating vendors and virtual assistants, and ensuring the team has accurate status visibility across active files. The ideal candidate is highly organized, proactive, comfortable managing multiple priorities at once, and effective at communicating updates and resolving blockers quickly.
Position Responsibilities
- Manage the operational workflow for active deals from contract to closing by tracking deadlines, maintaining task lists, and ensuring next steps are clearly owned and completed on time.
- Serve as the coordination hub between internal stakeholders and external partners such as title companies, attorneys, buyers, sellers, and lenders as applicable to remove obstacles and keep closings on schedule.
- Maintain clean, complete, and audit-ready transaction and operational files through strong document control, accurate data entry, and consistent digital organization practices.
- Execute and improve recurring operational tasks that keep the office running smoothly, including mail handling, scanning, deposits coordination, password and access tracking, and supply and logistics management.
- Support accounting and payment administration by organizing receipts, routing documentation to the bookkeeper, coordinating payment requests as directed, and applying accuracy checks to prevent errors.
- Coordinate vendors and virtual assistants by assigning tasks, following up on completion, and ensuring deliverables meet quality and timeline expectations.
- Support customer experience follow-through by coordinating seller testimonials and review requests at the appropriate time and ensuring communication handoffs feel organized and responsive.
Position Qualifications
- Demonstrated experience managing operational coordination across multiple concurrent priorities where deadlines, details, and follow-through are critical.
- Strong organizational and process discipline with the ability to create structure, maintain clean records, and keep workflows consistent in a fast-moving environment.
- Clear, confident communication skills and comfort coordinating professionally with attorneys, title companies, lenders, vendors, customers, and internal team members.
- High attention to detail with strong document management habits and comfort using digital tools for file organization, signature workflows, and task tracking.
- Sound judgment and problem-solving ability with a proactive approach to identifying risks early and escalating appropriately to keep work moving.
- Ability to thrive in a lean environment that values ownership, urgency, and reliability.
- Compensation is a base + bonus opportunity that ranges between $65,000-$75,000
