West Coast Event Productions is seeking a Design-Focused Event Sales Associate who brings both an appreciation for aesthetics and the ability to ensure every detail is organized, accurate, and carried through to completion.

For more than 40 years, we have partnered with clients across the Pacific Northwest to create exceptional events through creativity, precision, and a strong commitment to the client experience. This role sits at the intersection of design, client communication, and execution.


The Role

This position supports the sales and design process by translating client vision into well-executed events. You will work closely with leadership to ensure that creative ideas are clearly documented, organized, and delivered accurately.

Success in this role requires someone who is highly organized, detail-oriented, and able to communicate with professionalism and polish while maintaining an awareness of how design and presentation come together within an event.


Key Responsibilities

• Communicate with clients in a professional and polished manner, supporting inquiries, updates, and ongoing coordination

• Translate client and sales conversations into accurate contracts and proposals

• Track and manage details across multiple active events simultaneously

• Ensure all client selections, changes, and design elements are clearly documented and organized

• Maintain accurate records of contracts, communications, and event details

• Prepare clear updates for leadership on event status, changes, and priorities

• Identify and resolve discrepancies before they impact event execution

• Support the sales team by keeping information organized and accessible

• Manage priorities independently and take initiative to keep projects moving forward

• Adapt to changing client needs while maintaining accuracy and professionalism


Qualifications

• Highly organized with strong attention to detail and accuracy

• Strong written and verbal communication skills with a professional, polished presence

• Ability to manage multiple projects and priorities simultaneously

• Experience in event coordination, hospitality, interior design, or a related client-focused environment

• Appreciation for design, aesthetics, and spatial awareness

• Strong data entry skills (75–90 WPM preferred)

• Proficient in Microsoft Word and Excel; CRM or event software experience is a plus

• Familiarity with design tools such as Adobe Illustrator or Photoshop is a plus

• Ability to work independently, take initiative, and stay aligned with team goals

• Comfortable in a fast-paced environment with shifting priorities

Important Note

This role is best suited for someone who naturally balances creativity with precision. Candidates who are primarily creative without strong attention to detail, or primarily administrative without an appreciation for design, will not find this role to be a fit.
