Position Summary

The Operations Coordinator for Specialty Services at our New Jersey (Rockaway) provides essential administrative and dispatching support to ensure the efficient service and repair of hydraulic and induction heating/bolting equipment. This role is responsible for maintaining OEM production schedules, managing work-in-progress within the Machine Shop, and supporting customer data management and business growth initiatives.

Key Responsibilities

• Coordinate and track the service and repair workflow for hydraulic and induction heating/bolting equipment, ensuring timely completion and adherence to OEM production schedules.

• Generate and process work orders, allocate in-house staffing resources for field service work.

• Maintain and update work-in-progress (WIP) status for all jobs ensuring effective scheduling and resource allocation to optimize productivity.

• Prepare, organize, and maintain all documentation related to field service work, including customer files, service records, and warranty claims.

• Support asset inventory management by tracking parts, tools, and supplies, initiating reorders, and ensuring accurate records of stock levels.

• Serve as a point of contact for internal teams, customers, and vendors regarding repair status, scheduling, and documentation needs.

• Assist in the implementation and maintenance of customer relationship management, ensuring accurate and up-to-date customer information and service history.

• Provide administrative support for growth activities, including lead tracking, customer follow-ups, and preparation of reports or presentations as needed.

• Support compliance with quality control, safety, and operational procedures within the repair center and machine shop.

• Collaborate with technicians, sales, and management to resolve issues, improve processes, and ensure customer satisfaction.

Qualifications

• High school diploma or equivalent required, Associate degree in business administration, operations management, or a related field preferred.

• Prior experience in an administrative, operations, or repair coordination role, preferably in an industrial or technical service environment.

• Strong organizational and multitasking skills with the ability to manage multiple projects and deadlines simultaneously.

• Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and experience with repair management or CRM software.

• Excellent written and verbal communication skills, with a customer service orientation.

• Familiarity with production scheduling, inventory management, and basic accounting or bookkeeping is a plus.

• Ability to work collaboratively in a fast-paced, dynamic environment and adapt to changing priorities.

• Attention to detail and a methodical approach to documentation and process management.

Job Overview:

This position performs installation, maintenance, and repairs of computer driven electro-mechanical production equipment, ensuring that all related quality documentation is executed, while reviewing maintenance procedures for effectiveness.

Job Responsibilities and Essential Duties:

* Maintenance and repair of computer driven electro-mechanical manufacturing equipment in support of medical device production.

o Computer driven systems include proportional-integral-derivative (PID) operating controllers, programmable logic controllers (PLCs), and Human Machine Interface (HMI) automation.

o Sub-systems and components include electric drives, motors, electrical wiring, hydraulics, pneumatics, electrical panels, relays, printed circuit board circuitry, vacuum, and compressed air.

* Respond to emergency repair requests through troubleshooting, diagnosis, resumption of operation, and electronic documentation.

* Execute preventative/scheduled maintenance including planning of materials, parts, training, and other requirements to ensure work is executed in an efficient and timely manner.

* Document all work planned and performed in the computerized maintenance management system.

* Evaluate operation of equipment and instruments to conduct on-line adjustments. * Evaluate, quote, and order necessary replacement equipment, tools, and fixtures. * May develop or revise documents and procedures.

* Build Quality into all aspects of their work by maintaining compliance to all quality requirements.

Minimum Requirements :

* A high school diploma or equivalent is required. An associate degree or equivalent years of experience in Engineering, Science or related technical field is preferred

* 1-3 years of technician experience in a manufacturing environment is required; experience working in medical device manufacturing or other FDA regulated industry preferred.

Required Knowledge, Skills, and Abilities :

* Ability to read wiring diagrams, schematics, and plumbing diagrams to expertly troubleshoot electro-mechanical equipment, electric drives, motors, basic wiring, hydraulics, and pneumatics is required.

* Working knowledge of flow controls, valve selection, and pressure regulation.

* Must demonstrate effective verbal and written communication skills.

* Must be well organized and demonstrate the ability to work independently and manage multiple tasks and priorities.

* Must be flexible and demonstrate the ability to take initiative.

* Working knowledge of equipment powered by 120, 208/230, and 480VAC electrical voltage is required.

* Experience with PLC/HMI and MS-DOS programming languages is preferred.

* Proficiency with Microsoft Office products such as Word and Excel or equivalent software applications is preferred.

The pay for this role is a minimum of $25 per hour ($52k/yr) and a maximum of $33 per hour ($68,640/yr).

This is a Remote-Field position in which you will work from home and utilize a mobile office/vehicle for in-person appointments. Although the primary work location is in the field, with a commutable distance from home, there will be opportunities for virtual work to be completed at home. Requirements

• Valid New Jersey LPN License or Multistate License
• Physical from within three years
• PPD or Chest X-Ray
• Valid BLS CPR card (obtained in person not online)
• Valid driver's license
• G-tube, trach, vent experience or willing to train
