About The Job

We are seeking a Proposal Lead to support and enhance our proposal efforts from our home office in Bohemia, NY. This is a hands-on, individual contributor role and serves as Citnalta’s primary proposal resource, working closely with the Business Development and Strategy Manager and technical staff across the company.

You will work closely with procurement, estimating and marketing to develop clear, polished written content, including proofreading and copywriting, for proposals, presentations, and company-wide communications. In this role, your primary focus is to help position Citnalta as a premier general contractor and design-builder by producing compelling qualification packages, proposals, and supporting materials that reflect our expertise and commitment to quality.

Responsibilities

• Develop, execute, and produce competitive proposals, statements of qualifications (SOQ), and pre-qualification submissions in alignment with the pursuit plan and in full compliance with best practices.
• Review RFQ/RFP documents and translate requirements into practical tools such as outlines, compliance checklists, and responsibility trackers to guide contributors and keep all elements organized.
• Plan and monitor the day-to-day schedule for reach assigned pursuit, tracking progress against internal deadlines and escalating timing or information issues to the Business Development & Strategy Manager as needed.
• Draft and refine non-technical proposal content and shape technical input from project managers, estimators, and other technical staff into clear, well-structured narratives.
• Ensure that all proposal components (narrative text, forms, attachments, resumes, project histories, and certifications) are complete, accurate, and formatted according to client instructions and Citnalta’s standards.
• Maintain and regularly update proposal content libraries, including outlines, cover letters, executive summaries, project sheets, personnel resumes, and supporting narratives.
• Draft and proofread presentations, award submissions and other collateral company materials as needed.
• Prepare and assemble standard proposal forms and qualification documents, including government and agency specific forms, in coordination with internal stakeholders.
• Coordinate with designers, subconsultants, and subcontractors to collect information and forms for qualifications and proposal submissions.
• Work closely with internal project managers, technical staff, and marketing staff across the firm to gather content for proposals.
• Keep basic pursuit and outcome records (e.g., proposal log, shortlists, wins/losses) and share relevant information with the Business Development & Strategy Manager to support reporting and decision-making.
• Identify opportunities to standardize and improve proposal templates, tools, and processes, and help implement best practices.

Qualifications

• 3-5+ years of proposal development experience with an architecture/engineering/construction (AEC) firm
• Bachelor’s degree in Communications, Journalism, Marketing, English or related field; relevant communications and proposal experience will be accepted in lieu of a degree.
• Demonstrated ownership of proposal pursuits and comfort leading cross-functional teams through deadlines.
• Excellent writing, editing, and communication skills with a strong attention to detail and consistency.
• Strong organizational skills and the ability to manage multiple proposal pursuits simultaneously in a deadline-driven environment.
• Proficiency in MS Office, including Microsoft Teams and SharePoint
• Comfortable collaborating across departments as well as working independently with minimal oversight.

POSITION SUMMARY

The Project Manager is responsible for the project planning, organization and execution of Medical Device Development Projects. • Support development projects by implementing Delcath project management tools and templates; work with the team to ensure the tools are regularly updated with accurate information.
• Manage team meetings by establishing discussion topics, gathering meeting materials, facilitating discussions, and documenting meeting outcomes.
• Ensure project success by communicating project information across the project teams. When necessary, assist the supervisor in communicating project information vertically within the organization. This will often include preparing dashboards, Gantt charts for meetings, and status updates.
• Work collaboratively within the Program Management department to periodically evaluate projects assigned and determine the appropriate tools and templates to implement to ensure project success.

About This Opportunity:

Adaptec Solutions is seeking an experienced Project Manager to lead complex industrial automation and material handling projects from concept through commissioning. In this high‑impact, high‑visibility role, you will serve as the primary customer contact and guide cross-functional teams to deliver projects on time, within budget, and to defined scope and quality expectations.

You will manage a project portfolio of approximately $2M–$5M, influence PMO practices, strengthen customer relationships, and support the continued growth of Adaptec’s project management organization.

What You’ll Do:

• Lead all phases of project execution from kickoff through final acceptance.
• Coordinate all project activities from receipt of customer order through completion, ensuring alignment across engineering, build, installation, and integration teams.
• Apply strong financial oversight to maintain positive cash flow, track costs, and meet critical deadlines.
• Manage project budgets, financial forecasts, cash flow, and milestone reporting.
• Develop, maintain, and track project schedules using Wrike (or other scheduling tools).
• Develop detailed project schedules inclusive of in-scope engineering, build, installation, and integration activities, including relevant external milestones.
• Serve as the primary customer point of contact; coordinate internal and external meetings.
• Oversee internal and external resources to ensure delivery of scope and project outcomes.
• Administer contracts, manage risk, and execute change management processes.
• Prepare and provide Project Change Orders (PCOs) related to scope or schedule changes.
• Use data‑driven decision-making and reporting tools to maintain project schedule, budget, and scope.
• Develop and execute equipment commissioning, process commissioning, and integration test plans.
• Travel to customer sites for kickoff, installation kick off, and acceptance testing (~30%).

What You Bring:

• 7+ years managing large-scale industrial automation, material handling, or construction projects.
• Bachelor’s degree in business, engineering, or a related field preferred; equivalent combinations of experience and certifications (PMP, Lean Six Sigma, Agile/Scrum) considered.
• Experience managing 10+ projects with a combined portfolio of $2M+.
• Demonstrated expertise in financial control, risk management, scheduling, and contract administration.
• Strong understanding of automation systems, integration, commissioning, and supplier relationships.
• Experience with labor/material tracking tools like Wrike, Smartsheet, or ERP systems.
• Ability to develop dashboards, KPIs, and data-driven reporting for project performance.
• Excellent leadership, communication, and negotiation skills with the ability to influence stakeholders at all levels.
• Strong organizational and analytical abilities with a focus on financial outcomes and continuous improvement.

About the Role

The MEP Electrical Engineer and Senior MEP Electrical Engineer will be responsible for the design, documentation, and coordination of electrical building systems for commercial, institutional, and mixed use projects. These professionals will collaborate closely with architects, owners, and multidisciplinary MEP teams to deliver technically sound and constructible solutions.

The Senior MEP Electrical Engineer will take on expanded technical leadership, detailed system design responsibility, and mentorship of junior staff.

Key Responsibilities

Responsibilities for both roles include:

• Conceptualize electrical systems and communicate design strategies to clients and stakeholders

• Develop high quality construction documents and technical specifications

• Perform engineering calculations including load analysis, short circuit studies, voltage drop, feeder sizing, generator sizing, and lighting power density

• Design emergency power systems and prepare associated documentation

• Prepare building assessments and due diligence reports outlining existing conditions and system recommendations

• Participate in construction administration including field observations, contractor coordination, submittal review, RFIs, punch lists, and cost review

• Coordinate with internal MEP disciplines and external consultants

• Build and maintain strong client relationships

Additional responsibilities for the Senior MEP Electrical Engineer:

• Prepare detailed power one line diagrams, grounding diagrams, fire alarm layouts, lighting control systems, and complex distribution systems

• Lead project teams and manage electrical scope across multiple phases

• Mentor and develop junior engineers and designers

• Serve as a technical resource for complex code interpretation and system design decisions

Qualifications

MEP Electrical Engineer

• Bachelor’s Degree in Electrical Engineering or Architectural Engineering

• Minimum 3+ years of experience in MEP building design

• Experience across multiple project phases from schematic design through construction administration

• Proficiency in Revit, AutoCAD, and Microsoft Office

• Strong knowledge of NEC, NFPA codes, and applicable building codes

• Experience with engineering calculations and energy compliance documentation

• LEED Accreditation preferred

Senior MEP Electrical Engineer

• Bachelor’s Degree in Electrical Engineering or Architectural Engineering

• 6 to 10 years of experience in the MEP buildings industry

• Licensed Professional Engineer preferred or required depending on project responsibility

• Demonstrated experience leading electrical system design for complex projects

• Advanced knowledge of NEC, NFPA, and applicable state and local codes

• Strong construction administration experience including submittal review and field coordination

In this role, you’ll take ownership of estimating and preconstruction activities for a variety of projects, from early design through bid submission.
