We are a small, client-focused, boutique Real Estate law firm seeking a detail-oriented and reliable Real Estate Paralegal to support our Real Estate Attorney. The ideal candidate will play a key role in ensuring smooth daily operations, managing real estate transactions, and providing exceptional administrative and client support throughout the lifecycle of residential and commercial real estate matters. This person should be able to work well independently, with little to no supervision.

Responsibilities

  • Prepare, format, and proofread legal documents related to real estate transactions, including contracts, deeds, leases, closing documents, and correspondence
  • Coordinate and manage real estate closings, including scheduling, document collection, and communication with clients, lenders, title companies, and brokers
  • Maintain and organize client files (electronic and physical), ensuring accuracy and confidentiality
  • Calendar management, including scheduling appointments, deadlines, hearings, and closings
  • Answer and direct phone calls, greet clients, and serve as a primary point of contact for the attorney
  • Track deadlines and ensure timely filings with county clerks, courts, and other agencies
  • Handle billing support, time entry, invoicing, and basic accounts receivable tasks as needed
  • Perform general administrative duties, including mail handling, scanning, filing, and office coordination

Qualifications

  • Minimum of 5+ years of experience as a legal secretary or administrative assistant in a real estate law firm
  • Prior experience supporting a real estate attorney is required
  • Familiarity with real estate transactions, terminology, and closing processes
  • Strong organizational skills and attention to detail
  • Excellent written and verbal communication skills
  • Proficiency in Microsoft Office (Word, Outlook, Excel); experience with legal or document management software a plus
  • Ability to manage multiple tasks, prioritize deadlines, and work independently
  • Professional demeanor with a strong commitment to client service and confidentiality
