Why join us? medical dental vision 401k bonus Job Details About the Role We are seeking a detail-oriented Administrative Assistant to support our commercial real estate development team.
This role plays a critical part in keeping projects organized and on schedule by assisting with lien waiver tracking, contract administration, calendar coordination, and day-to-day administrative operations.
The ideal candidate is highly organized, proactive, and comfortable managing multiple priorities in a fast-paced development environment.
Key Responsibilities Managing the office Expense reports Ad hoc projects Contract & Lien Waiver Support Assist with preparation, tracking, and organization of contracts, change orders, and related project documentation Monitor lien waivers and ensure timely collection, review, and filing Maintain accurate digital and physical contract files Coordinate with vendors, subcontractors, and internal teams to follow up on required documentation Support compliance with internal processes and documentation standards Calendar & Scheduling Coordination Manage calendars for project leaders and executives Schedule internal and external meetings, site visits, and vendor appointments Coordinate logistics for meetings, including agendas and materials Track deadlines and key project milestones Administrative Support Provide general administrative support to the development team Prepare reports, correspondence, and presentations Organize project records and maintain document management systems Assist with invoice tracking and administrative project support as needed Handle incoming communications and route requests appropriately Qualifications 2+ years of administrative experience, preferably in real estate, construction, or a professional services environment Familiarity with contracts and lien waivers strongly preferred Exceptional organizational and time management skills Strong written and verbal communication abilities High attention to detail and accuracy Proficiency in Microsoft Office Suite and document management systems Ability to manage confidential information with professionalism Preferred Skills Experience supporting commercial real estate or construction projects Comfortable working in a fast-paced, deadline-driven environment Strong follow-through and problem-solving skills Bachelors degree or commiserate experience What We Offer Competitive compensation Professional growth opportunities Collaborative, team-oriented work environment Exposure to high-impact commercial development projects Interested in hearing more?
